Duties and Accountabilities
Scope of the job: The Receptionist will be responsible for handling general receptionist duties and providing administrative office support.
Duties and responsibilities:
  • Answer incoming phone calls in an efficient and professional manner;
  • Direct calls to appropriate staff member or ensure a message is passed on if staff is not available;
  • Register and announce visitors with a professional courtesy; ensure visitors are always met and/or escorted to relevant staff member;
  • Assist staff with making conference calls when needed;
  • Send faxes, make photocopies for IFC staff and visitors;
  • Ensure the documents, tickets delivered to office are passed to relevant staff in a timely manner;
  • Provide logistical support for staff as required;
  • Prepare arrival/departure table of IFC Kyiv office for drivers for pick up/drop off;
  • Assist in organizing events;
  • Accumulate and process general office supplies purchases on a monthly basis;
  • Handle diplomatic pouch shipment; process incoming mail and distribute to all staff;
  • Accumulate general list for periodicals subscription for IFC Kyiv office on half-year basis and arranges subscription;
  • Assist Office Administrator with admin tasks as well as serve as a back-up;
  • Keep track and update security staff list;
  • Serve as a back-up for Team Assistants when required.
Selection Criteria
  • Minimum 2-3 years of work experience in office assistant role, preferably with an international company or organization;
  • University / college degree;
  • Fluent in Ukrainian, Russian & English, excellent writing skills in these languages;
  • Well-organized;
  • Effective time-management skills;
  • Good communication skills;
  • A positive 'can-do / will do' attitude to work and to supporting colleagues;
  • Excellent computer skills.
