Background / General description
The International Finance Corporation, a member of the World Bank Group, promotes sustainable private sector investment in developing countries as a way to reduce poverty and improve people’s lives. In addition to its investment work, IFC provides a number of advisory services funded through different donors as well as its own income-generating activities, by developing targeted programs and projects to strengthen financial institutions and markets. Under the general supervision of the Country Officer, the Team / Program Assistant will provide administrative and operational support to IFC Karachi Office.
Duties and Accountabilities
  • Provide secretarial and administrative support to RR/Investment Officer
  • Draft routine correspondence & proofread materials using proper grammar, punctuation & style
  • Use word processing or desktop publishing skills to produce complex text, reports, figures, graphs, etc., according to standard Bank formats & distribution
  • Coordinate schedules taking priorities into account
  • Assist in preparation & logistical planning for events, e.g. conferences, workshops etc
  • Maintain up-to-date work unit project & other files (both paper & electronic)
  • Maintain calendar of appointments/meetings
  • Handle all travel arrangements
  • Follow-up on submission of bi-monthly timesheets by staff in conjunction with Regional TRS coordinator
  • Provide assistance in the implementation of the unit’s work programs, including some specialized support in specific areas e.g. filing both electronically and hard copies, editorial assistance, interpretation/ translation etc.
  • Attend meetings, draft minutes and ensure timely clearance and distribution
  • Draft routine correspondence and proofread materials
  • Incorporate agreed comments into documents, making full use of shared software capabilities
     
    Selection Criteria
  • University degree and at least 5 years of relevant work experience.
  • Excellent secretarial and administrative skills.
  • Strong interpersonal skills, positive attitude and flexibility to work effectively in a team-oriented and multi-cultural environment.
  • Ability to prioritize workload and work well under pressure with minimum supervision to meet deadlines.
  • High degree of initiative and commitment to meeting deadlines.
  • High level of proficiency of Microsoft Word, Excel, and Power point.
  • Strong English language skills (verbal and written), including ability to draft a variety of correspondence and edit materials using proper grammar, punctuation and style.
  • Willingness to perform ad hoc tasks and to travel occasionally.
