Description
Provide secretarial and administrative support to RR/Investment Officer
Draft routine correspondence & proofread materials using proper grammar, punctuation & style
Use word processing or desktop publishing skills to produce complex text, reports, figures, graphs, etc., according to standard Bank formats & distribution
Coordinate schedules taking priorities into account
Assist in preparation & logistical planning for events, e.g. conferences, workshops etc
Maintain up-to-date work unit project & other files (both paper & electronic)
Maintain calendar of appointments/meetings
Handle all travel arrangements
Follow-up on submission of bi-monthly timesheets by staff in conjunction with Regional TRS coordinator
Provide assistance in the implementation of the unit’s work programs, including some specialized support in specific areas e.g. filing both electronically and hard copies, editorial assistance, interpretation/ translation etc.
Attend meetings, draft minutes and ensure timely clearance and distribution
Draft routine correspondence and proofread materials
Incorporate agreed comments into documents, making full use of shared software capabilities
University degree and at least 5 years of relevant work experience.
Excellent secretarial and administrative skills.
Strong interpersonal skills, positive attitude and flexibility to work effectively in a team-oriented and multi-cultural environment.
Ability to prioritize workload and work well under pressure with minimum supervision to meet deadlines.
High degree of initiative and commitment to meeting deadlines.
High level of proficiency of Microsoft Word, Excel, and Power point.
Strong English language skills (verbal and written), including ability to draft a variety of correspondence and edit materials using proper grammar, punctuation and style.
Willingness to perform ad hoc tasks and to travel occasionally.
