Description
Provide administrative support at the group level for department. The Client & Site Experience Team (CSE) has a global responsibility with services spanning from Client Devices to Site Operations. CSE consists of 151 FTE’s and 1300+ vendors responsible for the day to day operations and long term strategy of the Client Devices, Client Solutions, Client F&B, and Site Support services. The business administrator plays an integral part in the success of the team. You will be a key resource supporting the CSE GM and the CSE Leadership Team, and will assist in support broadly across CSE, but will be primarily focused on support of the GM & Leadership team.
Responsibilities:
Daily support to the CSE GM on various projects pertaining to office moves, tracking action items, coordinating large meetings, managing the GM’s calendar, working with other Business Administrators for cross team meetings, tracking deadlines and upcoming objectives. Process logistics for full time employee and contingent staff hires and exits. Work with internal moving company to schedule individual or small group moves, serve as the department/group contact person and answer basic questions related to the group’s function. Prepare and track vendor usage of office space. Coordinate team meeting and morale events. Move equipment and manage inventory in storeroom. Participate in divisional administrative responsibilities as necessary and attend meetings as necessary.

Qualifications:
Qualifications should include strong planning and organization skills, positive attitude, and the ability to learn. Qualified candidates will have 5+ years demonstrated administrative experience in a fast-paced environment. Excellent organizational, communication, and interpersonal skills are required. Candidate must be a team player, pro-active and able to multi task. Candidate must be able to work well under pressure and within short time constraints. Candidate must have ability to prioritize work and complete projects on time, demonstrate drive and initiative, maintain confidentiality of information. Candidate must demonstrate ability to pay close attention to detail and must be able to monitor complex plans and schedules and react with appropriate urgency to situations and events that require quick response or turn around. Strong working knowledge of Microsoft Outlook, Office, Windows and required. Minimum Associates Degree or equivalent preferred. Knowledge of Microsoft Productivity Tools such as MSMarket, MSExpense, Headtrax, etc. a plus. Ability to lift 40 pounds and overtime may be required.
Basic Requirements:
Minimum 3+ years’ experience in a fast-paced administrative role supporting senior level manager or executive including calendar management experience with Minimum 3+ years’ experience in Microsoft Office Outlook, Excel, Word, SharePoint, PowerPoint, Visio
