THE ORGANIZATIONAL SETTING
The Editorial Unit (EDL), within the English Translation and Publications Section (EPS), is responsible for the editing, copy preparation, application of approved editorial standards, layout, format, graphics, typography and proofreading required primarily for the issue of ICAO saleable publications but also for a variety of other products, in the six working languages of the Organization. The timely production of publications in accordance with high quality standards is essential for the implementation of ICAO Standards and Recommended Practices by Member States and in support of the on-going work of the Organization. The incumbent reports directly to the Chief, Editorial Unit (C/EDL), from whom s/he receives direction and whom s/he consults on complex technical issues. Editorial Assistants of the same language (other than English) work in close collaboration and coordinate with other staff in Editorial, Terminology, Reproduction Services Unit (REP) and Information and Communication Technology Section (ICT), as required.
MAJOR DUTIES AND RESPONSIBILITIES
Function 1 (incl. Expected results)
Ensures the timely processing of the Russian and, when required, the Russian portions of multilingual publications, achieving results such as:
- Russian language editions that are complete in relation to the final, typeset English version.
- Accurate, consistent in terminology and properly formatted text, references, dates, figures, tables and equations.
- Text that is proofread and, when required, typed.
- Consulting and collaborating with colleagues, as necessary, to resolve problems and to share technical expertise and knowledge.
Function 2 (incl. Expected results)
Typesets Russian publications for printing and electronic publishing, achieving results such as:
- Preparing page layout, graphics and tables that follow and are consistent in style of presentation with the English electronic files.
- Typesetting miscellaneous jobs, such as invitations, consulting with English editorial staff, as necessary.
Function 3 (incl. Expected results)
Verifies and keeps up to date the Word and PDF versions of publications in Russian, which are regarded in the Organization as the definitive copies of Russian publications, achieving results such as:
- Preparing consolidated versions of publications for on-line posting.
- Placing the definitive copies of publications on the ICAO Central Database of documents (ICDB, ICAO-NET, etc.).
- Preparing reprints of publications, to satisfy print-on-demand needs.
- Establishing and maintaining an efficient filing system for both electronic and hard copies.
Function 4 (incl. Expected results)
Prepares material for internal or external translators and for external editors and coordinates the work of external editors, achieving results such as:
- Relevant electronic files, including conversions from software no longer in use in ICAO, and/or hard copies, prepared and made available for use by translators.
- Contacting external editors, preparation of the information needed for the purchase order, preparation of written instructions, answering queries and resolving problems, verification of work and finalization of the job.
Function 5 (incl. Expected results)
Keeps up to date with Russian language usage, ICAO terminology, editorial conventions, desktop publishing techniques and software, achieving such results as:
- Conducting research using relevant on-line or printed resources including the UN Language and Reference Resources, ICAOTERM, dictionaries, etc.
- Carrying out editorial directives, incorporating new terminology and following approved linguistic guidelines, as required.
- Participating in software training courses when available; seeking solutions to software issues by consultation or research.
QUALIFICATIONS AND EXPERIENCE
Education al background CEGEP diploma (or equivalent) preferably with specialization in languages.
Professional experience and knowledge
- A minimum of six years of experience related to document production processes. Skill in writing, text editing, proofreading, preparation of layouts and page make-up. Knowledge of typographical rules and trends, desktop publishing applications for editorial work as well as typesetting and text processing techniques. A wide knowledge of ICAO functions and publications is required, as well as knowledge of its procedures, practices and interactions with outside bodies.
Language Skills
- Excellent command of Russian as the mother tongue or the language used for the purpose of education with a sound knowledge of grammar, syntax, spelling and punctuation.
- A very good working knowledge of English is essential.
- Knowledge of any of the following languages of the Organization (Arabic, Chinese, French, Spanish) is desirable.

- Technological awareness: Knowledge of or experience with office automation equipment and contemporary software and the willingness to keep up to date on new or revised procedures, software and equipment relevant to the work.
CONDITIONS OF EMPLOYMENT
It should be noted that this post is to be filled on a fixed-term basis for an initial period of three years (first year is probationary for an external candidate).
ICAO staff members are international civil servants subject to the authority of the Secretary General and may be assigned to any activities or offices of the Organization within the duty station.
ICAO staff members are expected to conduct themselves in a manner befitting their status as international civil servants. In this connection, ICAO has incorporated the 2001 Standards of Conduct for the International Civil Service into the ICAO Personnel Instructions. ICAO offers an attractive benefit package to its employees in accordance with the policies of the International Civil Service Commission (ICSC).
The statutory retirement age for staff entering or re-entering service after 1 January 1990 is 62. For external applicants, only those who are expected to complete a term of appointment will normally be considered.
