Health Reform Support Programme (HRSP)
Description of duties:
As part of the HRSP project team, the incumbent provides a variety of secretarial and administrative services in support of the project/programme activities:
  • Drafts correspondence and documents based on written/verbal prompts from the Professional staff of the unit. Composes and finalizes correspondence of administrative nature. Provides rough translation or synopsis of incoming mail. Takes notes at meetings. Takes and transcribes from dictation, recordings and handwritten drafts, correcting as appropriate. Types reports and other documentation.
  • Assists with the administrative preparation and conduct of meetings and educational activities, in accordance with established procedures.
  • Makes travel arrangements for duty travels and, in accordance with established procedures, prepares approval memoranda, travel authorizations and follows up on issue of duty travel reports.
  • Prepares correspondence for the recruitment of consultants and temporary advisers; arranges briefing appointments and performs secretarial work for them; processes technical services and/or agreements for performance of work and related correspondence and follows up on deadlines of such agreements and prepares payment instructions.
  • Initiates action to process or follow up on correspondence, documentation and forms. Creates background files and compiles reference material as appropriate. Accesses and retrieves information from relevant databases and updates as required.Responds to and acts on telephone enquiries and requests for information. Assesses the critical nature of technical enquiries and refers them to appropriate staff for reply. Coordinates appointments for supervisor and organizes programmes for visitors.
  • Provides briefing and guidance to general service and professional staff on general office practices and procedures; liaises with, assists or replaces other administrative staff in the project should the need arise.
  • Performs other related duties as required.
REQUIRED QUALIFICATIONS
Education:
Essential:
  • Completion of secondary school or equivalent.
Desirable:
  • Additional relevant higher education an advantage.
Skills:
Functional skills:
Essential:
  • Administrative training, or equivalent work-related experience, including typing and computer skills, minute-taking ; communication and advisory skills.
Desirable:
  • Experience in Microsoft Powerpoint and Excel an asset.

Experience:
Essential:
  • Several years' experience in the secretarial/administrative field.
Desirable:
  • Experience in WHO/UN an asset.
Languages:
Essential:
  • ENGLISH and GREEK
Excellent (fluency/advanced) knowledge.
Desirable: Knowledge of other languages an asset.
Additional Information:
(1) Extension of appointment is subject to a) satisfactory performance, b) continued need for the function, and c) availability of funds.
