ESSENTIAL FUNCTIONS
This position provides a full range of administrative support for the Hong Kong office. These functions involve various office tasks including some or all of the following: answering phones, sorting/distributing mail, maintaining equipment, ordering supplies, working with vendors, drafting correspondence, maintaining logs and costs, organizing and filing. This also includes handling inquiries about operating unit activities, assisting in the development of fundraising, communications and/or educational materials, conducting program data research and producing narrative or financial reports as needed. S/he will prepare accounting forms and disbursement requests, monitor income and expense budgets and review internal and partner financial reports. S/he provides efficient and timely action on administrative matters, the preparation of correspondence and materials, may communicate on behalf of the supervisor with internal and external sources, including staff, partners, government officials and donors. S/he may handle domestic and international travel arrangements and calendar for supervisor and coordinate logistics with others as needed. S/he may be responsible for departmental calendar and filing, as well as back-up administrative assistance to the Hong Kong office and the Asia Pacific Region. Responsibilities include but are not limited to:
  • Administering and managing the day-to-day office administration services for Hong Kong Office.
  • Scan and distribute faxes on a daily basis.
  • Manage the Hong Kong Office and the Membership email addresses
  • Assist in logistics arrangements for regional meetings and staff events.
  • Technology and information systems support contact person. Work with local IT technician and TNC Help Desk to support technology requirements and service in the Hong Kong office.
  • Coordinate and conduct new employee onboarding and processing HR paperwork.
  • Prepare paperwork for filing with Companies Registry in Hong Kong to comply with Hong Kong law and regulations. Attending to the filing at Companies Registry.
  • Update AP Contact List on a regular basis.
  • Assist Philanthropy with setting up and paying vendor accounts and check deposits.
BASIC QUALIFICATIONS
  • Associate's degree, technical education or 2 years of related experience or equivalent combination.
  • Experience providing administrative support including, phones/customer service, mail distribution, equipment maintenance, drafting correspondence, coordinating travel arrangements or related activities.
  • Experienceorganizing files, coordinating projects or meetings, or related activities
  • Experience using MS office, Word and Excel and navigating the Internet.
PREFERRED QUALIFICATIONS
  • Excellent verbal and written skills in English.
  • May require Power Point and Database Management skills. Ability to use advanced computer functions including navigating the Internet.
  • Service oriented. Courteous, personable, tactful and able to deal effectively and sensitively with all levels of staff and public.
  • Demonstrated flexibility to changing situations and priorities.
  • Strong communication skills, organizational skills and attention to detail.
  • May require fluency in foreign language(s) to support global operations. Specific language(s) may be preferred depending on operating unit.
