Organizational Setting and Reporting
This position is located in the Text Processing Unit of the French Translation and Text-processing Section (FTTS) of Conference Management Service (CMS), Division for Management (DM), United Nations Office at Vienna (UNOV).
The incumbent reports to the Supervisor of the Text Processing Unit (G-6) and works under the overall guidance of the Chief, French Translation and Text-processing Section (FTTS).
Responsibilities
Within limits of delegated authority, the Assistant Supervisor (French Editorial and Desktop Publishing Assistant) will be responsible for the following duties:
Organize, plan, control and co-ordinate the work of a particular shift with respect to the production of camera-ready documents for reproduction and storage of final text in databases and on the Web;
Distribute assignments so as to ensure efficient and effective processing of documentation and an equitable distribution of work. Update electronic entries in the DCPMS system accordingly;
Register incoming/outgoing documents in order to control the flow of work in and out of unit;
Maintain daily statistics; performs administrative work, as needed;
Identify and retrieve documents from the United Nations Official Documents System (ODS) and research and verify terminology on the Intranet;
Perform daily maintenance of the Unit network drives;
Train and guide junior support staff;
Perform supervisory functions in the absence of the Supervisor;
Rotate in day and night shifts, as well as weekend on-call duties, as needed.
Under the authority of the Chief of Section and in close coordination with the Senior Reviser, manage the quality management and control of the editing and formatting of external translations;
Assist the Senior Reviser in planning the quality management and control of the editing and formatting of translations done externally, in setting priorities and determining the level of quality management and control to apply to various documents, depending on their nature, urgency and sensitivity;
Finalize and check documents processed by other team members and upload them on DCPMS;
Perform the quality management and control of external translations, based on written instructions, finalize the documents and upload them in the DCPMS;
Input in the Contractor Management Application the quality control reports;
Train editorial assistants in performing quality management and control tasks and develop instructions to be followed by editorial assistants who perform quality management and control tasks.
Train editorial and desktop publishing assistants in performing bi-text alignments and other modified text-processing functions in order to support the production of high-quality translation memories for computer-assisted translation (CAT), machine translation (MT) and related workflow improvements.
Perform other related work as required.

Education
High school diploma or equivalent. Must have passed specialized UN text-processing tests (i.e., grammar, verbatim, formatting and speed typing) in French.
Work Experience
Five years of editorial and desktop publishing experience, including draft typing, copy editing, proof-reading and typographical layout or related area.
Languages
Fluency in oral and written French is required; very good working knowledge of English is required; knowledge of any other United Nations official language is an asset.
Assessment Method
Written test and competency-based interview.
