Description

At present, the technical teams of the INT/INT of the Inter-American Development Bank are preparing numerous initiatives, including design and implementation of projects, sector studies and notes, and strategies, all of which are required to fulfill the mission of the Bank. The consultant will provide coordination and budgetary assistance to the Contract and Budget officer and support to the Front Office of the Integration and Trade Sector.
In order to ensure the continued accessibility of the work INT/INT has produced, it is urgent that outputs currently stored on individual hard drives and INT servers be moved into the Bank's official archive, IDBDOCS, following the guidelines approved on December 2006 (AM-301-1, the 'Procedures for the Creation and Filing of Bank Records in IDBDOCS').
  1. OBJECTIVE
Provide comprehensive assistance to Contract and Budget officer and support to the Front Office of the Integration and Trade Sector.
III. MAIN ACTIVITIES
Budget/Administrative Activities:
Assist in the execution of the INT Budget by preparing adjustments and payments of consulting firms, petty cash, disbursements for training and payments for consultant's ad assuring that the rules in tem of payments on the part of internal suppliers and clients fulfilled.
In accordance with Bank guidelines and standards, assist in the provision of all space, equipment security accesses, electronic-accounts, phone accounts, and systems accesses to Staff and consultants in the Front Office.
Responsible for P-Card purchases for the Front Office including office supplies trough Office Max.
Assist in the preparation of the Sector administrative budget which includes allocation of expenses by budget program code and account.
Assist in the tracking of the Annual INT administrative Budget and the reclassifications of expenses required.
Allocation of expenses of the Front Office in the E-Pay System.
Assist in the preparation of Accruals.
Contracts:
Prepare contractual contracts of the Front Office and for the entire Sector related to hiring of individual contractual.
Review Terms of References for Contractual Employees.
Entering requisitions in the Lawson system for approval and follow up on the Purchase Order execution.
Prepares request for vendor ID#, request visa applicable.
Assist in the execution of Technical Cooperation (TCs) – 80 TCs in pipeline
Elaborate amendments, extensions, cancellation and other requests related to the hiring of Contractual Employees.
Other Task:
Close work and collaborate with the Assistant's team in the Operation area to jointly achieve the Operational Program Sector.
Other duties will be assigned by the Contract and Budget Officer in INT/INT that involves activities related to the processing of Operations.
Responsible for maintain the files of all documentation related to the hiring of Contractual Employees and TCs.

  1. QUALIFICATIONS:
Minimum a Bachelor's Degree (or equivalent) in the Area of Business Administration.
Fluent and English and Spanish.
Certification: Approval Process Complementary Workforce.
Knowledge in Trouble shooting in the applications of PEOPLESOFT, TALEO, and LAWSON systems a plus.
Knowledge of the Bank Policies (Contracts and Technical Cooperation) such as PEOPLESOFT, TALEO, LAWSON, IDBDOCS, CONCUR, OPUS, WLMS, E-PAY, among others.
The position requires the ability to perform coordination and budget support functions involved in the preparation of contract and payments for INT/INT.
