The Enterprise Platform Services team is looking for an experienced Administrative Assistant who is a motivated team player, likes to be challenged, is flexible, and enjoys working with people. The ability to relate well with diverse individuals and accommodate many working styles. The ability to build good working relationships inside and outside the group is critical to the position. The position requires someone with strong initiative, multi-tasking skills, and the ability to learn new tasks quickly, and respond to rapidly changing situations. 

Responsibilities, not limited to the below: 
o Manage the GM & Sr. Director calendar for optimal use of time - smart meeting management based on agreed to priorities, optimized for travel, and enforcing meeting efficiency.

o Meet weekly with GM to optimize plan for the week

o Manage weekly staff meeting - gather agenda from GM and other leaders, take notes, manage follow-up from staff on team wide issues brought up.

o Manage a private VP conference room for GM and team use

o Keep headcount tool up to date with positions and people movement, working with confidentiality with senior managers and HR about people movement.

o Manage office space issues, including office moves, remodels, and working with facilities.

o Create team computer supplies plan and manage team to budget

o Create FY plan for training (working with senior managers and GM) and manage to budget

o Manage logistics for team morale plans, large meetings, and customer engagements

o Manage multi-geo travel plan and budget for FY, working with all regions

o Manage the org ‘as is’ and ‘to be’ plans, and cross geo org charts (including partner teams), resolving all NTE changes/tracking with business managers

o Manage supplier paperwork (contracts, renewals) according to team project and budget plan

o Manage basic content on a team sharepoint site, driving team as needed for content with specialized knowledge to manage.

o Manage team aliases in efficient ways (right nesting for FTE, CS, team variations)

Skills needed: 
Organized - personally and with large amounts of issues with a team

Detailed oriented - never lose track of items once asked, managing priorities and expectations of when work will be done

People and organizationally savvy - able to handle sensitive personnel and cross team issues in sensitive and direct ways

Confidential - Keeps confidential information confidential and knows when to get more information to manage situations appropriately

Business skills - able to understand a budget (EPS P&L) of reasonable complexity and assist in the running of the business (e.g. vendor/contract renewals), assisting a Business Manager/Planning leader

Competent in all Microsoft tools required to run a team - MS office, sharepoint, Microsoft tools (Headtrax, MS Expense), & IT tools 

Expectations 

Office in Bellevue with EPS team, sharing 2 days a week in Redmond office supporting Suppler strategy office (managing exceptions as needed for event and special meetings)

Experienced in MS tools, processes and does not need help from the EPS team to successfully accomplish business needs though use of MS/IT tools and processes

Senior and mature enough to have two managers (EPS & Supplier strategy) and able to balance priorities, setting expectations and escalating in advance if deliverables or timeframes become at risk

Well plugged into the SES admin community to get things done and be able to learn things needed without extra team overhead

Qualifications: 
Should include a minimum of 3-5 years of demonstrated work experience in a fast-paced administrative capacity. Relevant work experience includes strong verbal, written communications and interpersonal skills, excellent organizational skills, and strong attention to detail. You must demonstrate the ability to work independently, as well as in a team environment, maintain confidentiality, and work under pressure within short time constraints. Proficiency of Microsoft products, including Outlook, Word, Excel, and PowerPoint. A BA/BS degree preferred. SharePoint experience a plus.
