We’d like to talk with you! We are looking for an individual who desires a role supporting the GM of EAS and Sr. Director of Dynamics team within Strategic Enterprise Services IT (SESIT). The EAS and Dynamics team is seeking an experienced and highly motivated Business Administrator. The candidate must be a strong team player who will demonstrate drive and initiative, have a positive and professional approach. This position requires strong attention to detail, demonstrated problem-solving skills, ability to change direction in response to changing work situations, ability to accommodate different working styles, ability to prioritize own work.
Primary Job Responsibilities, but not limited to:
Exercise sound judgment, tact, diplomacy, integrity and professionalism in all transactions to include communicating and working with highly confidential and sensitive information.
Calendar maintenance for the GM and Sr. Director and their complex calendars
Experience in domestic & international travel arrangements;
Reconciling expenses.
Maintaining and updating headcount reports, org charts, etc.
Work closely with Business Manager to deliver Rhythm of the Business processes, including quarterly business reviews, budget reviews, leadership meetings, product/strategy reviews, morale events, offsite events, All-Hands meetings, etc.
Work closely with the SESIT Admin team to ensure all administrative procedures unique to SESIT are handled as required and that all group support is running smoothly.
Build strong working relationships with the Business Support Professionals in MSIT.
This individual will also provide general administrative support for a team of 100+.
Space and equipment/assets coordination and tracking
Other Job Responsibilities may include:
Work with the Administrative team to ensure the smooth on boarding of new-hires including office assignments and hardware purchases.
Use team specific processes to manage the logistics for all contingent Staff and Vendors. Duties may include reimbursements, vendor set ups, contract management, payment processing, and tracking and reporting.
Ordering supplies/hardware/software for team
Managing distributions lists and individual moves
Communicating and driving all administrative tasks across the group
Set-up of new hires and contingent staff
The Successful individual will have:
3+ years demonstrated work experience.
Current/prior Microsoft experience is preferred.
Exceptional verbal, written and interpersonal communication skills are required.
Superior organizational skills, especially multi-tasking in a fast-paced deadline-oriented environment.
Ability to act with presence and diplomacy
The ability to effectively coordinate and manage complex calendars for a GM.
React with appropriate urgency to situations and events that require a quick response or turnaround.
Ability to work effectively under pressure, within short time constraints, and act with appropriate urgency.
Maintain confidentiality of information
Work as part of administrative team
Build effective working relationships inside and outside the work group.
High level of interpersonal skills and organizational agility.
Be adaptable in response to changing work situations
Able to accommodate working styles and perspectives of diverse individuals, and to solve routine problems effectively.
Be able to work independently, prioritize own work and resources, and have the ability to multi-task efficiently.
The ability to act with sense of urgency
Ability to work independently, take ownership and drive issues to resolution.
In depth knowledge and proficiency of MS systems and products including Outlook, PowerPoint, Visio, Word, Excel.
Windows and the ability to learn new internal systems quickly and with proficiency.
Able to work successfully in a team environment, build effective working relationships inside and outside group with varying.
