Pact in Myanmar is currently working in the Delta Zone, Dry Zone and Shan Zone on various projects including Micro Credit, Primary Health Care, HIV/AIDS Education Programs and Livelihoods Integrated Program. Pact in Myanmar operates its various projects in 51 townships. Pact in Myanmar is currently seeking a motivated, experienced and dedicated candidate for the position of Receptionist.

Yangon-based Full time (Regular) Office Manager Pact values and supports a diverse work environment.
Position Summary: The Receptionist is responsible for organizing the front desk coordination and its related general administration services to country office. The responsibility to undertake daily correspondence, arrange meeting schedule, ticketing, accommodation in order to ensure those are provided in effective way. The Receptionist is a key member of Admin Department to play an active role for front desk.
SPECIFIC DUTIES AND RESPONSIBILITIES: 1. Administration management
  • Take overall responsibilities of communication in answering telephone, transferring call, taking messages, deliver the message to the recipients correctly, keep telephone and email/internet systems functional. Update and maintain all telephone numbers and addresses of all contact organizations and all PACT offices in the field regularly. Make phone calls for staff for local and overseas upon request. Provide sourcing and collecting over phone/mail for all information which require for projects as and when requested. Make appointments, reservation for hotels and tickets and enquire necessary information for the office. Manage daily vehicle schedule.

Welcome visitors/guests and place them to the person/department that wants to meet and prepare serving them Review and record daily staff attendance register and keep staff IN/OUT record regularly (during office hour). Inform and ensure with the field offices that the mails are sent and received accurately. Assist in office records keeping, mailing system and filing system of Admin Department. Keep track on central dispatch system for all projects and assist in daily correspondence IN/OUT in the register book and dispatch letters, parcels and project related things to concerned place. Update office notice board and movement registers regularly. Provide logistical needs in office including training room reservations and arrangement Coordinate with Office Assistant in keeping and arranging PACT vehicle using log book daily.

Ability to work quickly and accurately under time pressure and tight deadlines. General computer skills including Microsoft Word, Excel are required; Excellent interpersonal skills and ability to work both independently and as the member of a team. Demonstrated ability in oral and written English communications skills in order to effectively present detailed information and respond to questions in a professional manner.
