ICANN has an exciting new opportunity for an Administrative Assistant Lead. The Administrative Assistant Lead performs administrative duties and carries out responsibilities in the following areas (including, but not limited to):
  • receptionist/complaint processing (customer service) and administrative support.
Key Responsibilities:
  • Reception/ Complaint processing/other
    • Responsible for efficient functioning of the front desk; direct other Administrative Assistant as needed to accomplish all duties.
    • Lead role in assigning and prioritizing daily work.
    • Greet and assist visitors with questions, make the front desk a welcoming environment.
    • Reserving conference rooms; main person to resolve conference room scheduling issues.
    • Assist staff to resolve conflicts when possible.
    • Provides parking validations.
    • Answer incoming phone calls
    • Assist Administrative Assistant when needed to answer customer complaints (by phone and email).
    • Assist with cleaning equipment .0.000and preparing coffee when responsible team member needs assistance
    • Assist with shipping/receiving
    • and mail processing when Administrative Assistant is unavailable or needs assistance
  • Administrative Duties
    • Special projects (Research vendors for special events, update floorplans, do nameplates, etc.).
    • Assist with administrative duties as needed.
    • Responsibility for offsite document storage and maintaining GRM spreadsheet.
    • Make hotel direct bill arrangements, for visitors when requested.
    • Assist with ReqLogic data entry and maintenance of ReqLogic system and agreements.
    • Assist with invoice processing for Administration Department.
    • Other duties as assigned or requested

Required Skills
Proficient in MS Word/Excel/Outlook
Ability to lift 50+ lbs.
Ability to deal with difficult/irate phone calls
Ability to multi-task and to work independently
Ability to solve complex issues in an ambiguous environment
Flexibility to deal with fast-paced, changing environment
A contagious passion for ICANN’s mission and a voracious appetite to learn.
Proficiency using Excel, Word and Outlook required
Proven ability to compose clear reports, summaries and other written communication

Ability to work independently (self-motivated)
Required Experience
Experience greeting visitors and answering phones at a reception desk
Minimum 2 years related administrative experience
Experience at a reception desk
