Responsibilities
This Generic Job Opening has been advertised to attract applications from qualified candidates, including serving staff in various Supply functions or Supply related positions such as Fuel Assistant, Rations Assistant, Food Services Assistant, Inventory and Supply Assistant, Material and Assets Assistant, Quality Control Assistant, and Warehouse Assistant/ Officer.Within the limits of delegated authority, the Supply Assistant will carry out the following duties: (These duties are generic, and may differ depending on the requirements of the field mission).
  • Supervises the provision of security equipment and supplies, general supply equipment such as office equipment, supplies, spares, consumables as appropriate from the supply unit to the sectors regions and sections within the mission;
  • Coordinates and liaises with the Security Section for the procurement and provision of security equipment and consumable requirements;
  • Implements procedures to ensure that requisitions for supplies are properly prepared and reviewed such that they are issued/replenished/allocated to the field in a timely and coordinated manner to ensure reliable flow of supply for the mission;
  • Implements supply-related Standard Operating Procedures (SOPs) including on Receiving and Inspection, Quality Control (QC)/Quality Analysis (QA), inventory control, reporting and invoice processing;
  • Supervises the process for monitoring consumption, inventory-control, stock-checking and write-off to ensure security availability and accountability of materials and assets;
  • Provides input on mission requirements, procurement-plan and cost-estimates for budget and acquisition planning;
  • Participates in technical survey visits during mission start-up and during implementation to ensure the most effective implementation of mission's operational plans;
  • Implements plans for the disposal or redeployment of assets during mission downsizing or liquidation;
  • Provides technical input as required in the development and implementation of supply and service contracts, including in preparing Statements of Work, technical evaluation and presentations to Local Committee on Contracts;
  • Develops, maintains and updates software and databases such as Galileo and/or Umoja as appropriate for tracking, reconciliation and accounting purposes;
  • Implements the internal inventory management control systems including budgeting and monitoring of replenishment, refurbishment or replacement;
  • Maintains accurate and complete accounting, reporting and all electronic/hardcopy records to ensure proper audit trail;
  • Assists in monitoring and analyzing contract performance to ensure compliance with contract terms, schedules and cost objectives;
  • Assists the Contract Management Section/Unit in the resolution of contractual disputes in the course of contract implementation for General Supply related issues;
  • Manages and trains Supply staff as assigned;
  • Performs other duties as required.

QUALIFICATIONS
EducationHigh school or equivalent diploma is required. Technical or vocational certificate in at least one of the following areas: business administration, logistics management, inventory management and supply management. Work ExperienceAt least 8 years of progressively responsible experience in supply, inventory management, procurement, logistics support or related fields, including at least 2 years at the international level. Experience in managing support services in international operations in a post conflict environment is desirable. Knowledge of UN rules, regulations and working practices pertaining to field missions is an advantage. Experience in the handling of security equipment highly desirable. Experience in international operations in a post conflict environment is desirable. LanguagesFrench and English are the working languages of the UN Secretariat. For this post, fluency in English (both oral and written) is required; Knowledge of another UN official language is desirable.
