Background:
The Association of Southeast Asian Nations (ASEAN) Secretariat is the nerve centre ofASEAN, a regional inter-governmental organisation founded in 1967, to promote peace andstability, sustained economic growth, shared prosperity and social progress. It comprisesthe ten countries of Southeast Asia.The entry into force of the ASEAN Charter on 15 December 2008 had provided newimpetus to ASEAN's integration efforts by establishing a legal and institutional frameworkrequired to achieve the ASEAN Community by 2015. This includes the newly approvedorganisational structure of the ASEAN Secretariat (ASEC) that is aligned to therequirements of the Charter and the three Blueprints of the ASEAN Political-SecurityCommunity (APSC), the ASEAN Economic Community (AEC), and the ASEAN Socio-CulturalCommunity (ASCC). The ASEAN Secretariat is therefore well positioned to provide thenecessary functions required to effectively support the community building process underthe Charter and the Blueprints.
Currently the ASEC is looking for a qualified candidate to fill the position of Secretary, who will work in the Environment Division, Cross-Sectoral Cooperation Directorate, ASEANSocio-Cultural Community Department. The Environment Division promotes ASEANregional environmental cooperation in the context of enhancing environment sustainabilityto contribute to sustainable development, among others, in the areas of air, water, landpollution, coastal and marine environment, climate change, environmental education,freshwater resources, environmentally sustainable cities, nature conservation andbiodiversity, sustainable forest management and transboundary smoke haze pollution. TheDivision also coordinates and manages programs and activities related to globalenvironment issues among ASEAN Member States.
Duties and Responsibilities:
The duties will cover, but not be limited to, the following:1. Provide secretarial and administrative support to the respective Division
  • Establish and maintain a coherent filing system in accordance to ISO standard.
  • Arrange hotel reservation, ticketing and prepare Travel Authorization for officers of the Division travelling to attend meetings.
  • Perform other secretarial duties as assigned by the Assistant Director.
2. Coordinate and manage general correspondence and event coordination Record incoming and outgoing Letters/Memos including distribution of incoming letters and memos to the relevant officers.
  • Arrange schedules for appointments of the officers.
3. Coordinate events organised by the ASEAN Secretariat
  • Provide assistance as a supporting staff in meetings organized by the ASEAN
Secretariat.
  • Prepare the logistics arrangements, make room reservation, distribute materials for meetings and ensure the preparation of the necessary meeting equipment.
Qualifications and Experience:
  • Diploma in Secretarial studies or related field or discipline with minimum four (4) years relevant working experience in executive support role.
  • Experienced in handling a wide range of administrative and executive support related tasks.
  • Demonstrated ability to plan and organise tasks and work flows, with proven ability for accuracy under pressure and adherence to deadlines.
  • Ability to communicate effectively with colleagues at all levels of the organisation.
  • Demonstrated commitment to collaborative work practices.
  • Competency in oral and written communication skills, including experience in cross-cultural environment and international settings.
  • Competency in computer skills with adequate knowledge of Microsoft Office and Outlook where relevant to the position.
  • Proven ability to maintain confidentiality of matters related to work place.
  • Familiarity with protocol matters.
  • Sound command of English, written, and spoken.
Successful candidate will be offered the post with a probation period of six months andmonthly salary commensurate with her personal qualifications starting from IDR2,000,000. There are other applicable benefits which include monthly transportationallowance, outpatient medical reimbursement, hospitalisation insurance, and an annualbonus of a month's basic salary. Upon completion of the probationary period, the candidatewill be confirmed on an initial up to three-year contract, inclusive of the six-monthprobationary period.
