Organizational Context:
The position is located in the Distance Learning (DL) Program of the WIPO Academy.
The WIPO Academy plays a central role in WIPO's activities to enhance the capacity of countries to use the intellectual property (IP) system and adopts an interdisciplinary approach to IP education focusing on its links with trade, innovation, health, applied sciences, information technology and creative industries. The portfolio of courses on IP caters to different target audiences: inventors and creators, business managers and IP professionals, policy makers and government officials of IP institutions, diplomats, students and teachers of IP and the civil society.
The incumbent is responsible for a wide range of office support tasks under the WIPO DL Program and reports to the Head of the Program.
Main duties:
  • Administer distance learning courses such as the DL-101E & DL-101F Blended Learning Course on IP and help WIPO staff with completion of administrative formalities such as registration etc. and liaise with relevant services such as HRMD, Finance and IT;
  • Ensure that all scholarship applications are processed in line with the registration requirements and checklists and that all supporting documents are provided. Follow-up in case of inconsistency;
  • Finalize correspondence, memoranda, letters and format outgoing documents in accordance with the WIPO rules for Head of the Program. Monitor, track and record incoming and outgoing correspondence and documents;
  • Respond to general and specific queries on the DL program by phone or email in line with the WIPO Academy Course Assistant Manual;
  • Maintain a database of DL course content in various languages. Initiate and follow-up on translation requests;
  • Update and maintain the statistical database of the DL program and format statistical overviews;
  • Ensure meeting venues are ready for training events, welcome visitors and trainees, print and/or copy documentation as requested;
  • Initiate, process and follow up on all aspects of travel for DL team members and third parties (e-TA, events requests, etc.) and enter required data into the financial systems (AIMS, ERP) as requested. Process engagements and payments for DL tutors and experts;
  • Take minutes of team and inter-departmental meetings;
  • Perform other duties as assigned.

REQUIRED QUALIFICATIONS
Education:
  • Completed secondary education with a relevant diploma.
Experience:
  • At least five years of relevant work experience. A post-secondary diploma or degree in a relevant field may be accepted in lieu of two years of experience.
  • Experience working in a multi-cultural environment.
Skills:
  • Confident user of Microsoft Office applications (Word, Excel, Outlook, PowerPoint) and the internet and the ability to quickly adapt to new software. Ability to learn and use on line systems;
  • Good communication skills with the ability to provide feedback and flag challenges in advance of deadlines;
  • Ability to format and finalize letters with accuracy and attention to detail;
  • Good communication and interpersonal skills with the ability to work well in a multilingual and multicultural team, strong client service orientation;
  • Good organizational with the ability to work within strict time limits and to respect deadlines, good problem-solving skills;
  • High degree of flexibility.
Languages:
  • Excellent knowledge of English. Knowledge of French and/or Spanish an advantage.
Monthly salary:

Additional Information:
  • This position is open to Geneva metropolitan area/neighboring France residents only.
-Temporary appointments are renewable, subject to continuing needs, availability of budget and satisfactory performance with a maximum cumulative length of two years.
