ORGANIZATIONAL SETTING
The Editorial Publishing Assistant provides multilingual editorial support, Desktop Publishing, andadministrative coordination for the ITC Publications Programme.
RESPONSIBILITIESUnder the direct supervision of the Publications Manager and under the general guidance of theChief, Communications and Events, the incumbent will be responsible for:
1. Multilingual editorial support and coordination, with substantial responsibility for endproduct. Provide advisory services to ITC staff for layout and basic copy checks ITC papersthat are part of the official publications programme. Format and conduct spot copy checks forgovernance documents. Provide editorial support for books per biennium, including citations,references, web site addresses, country names, punctuation, terminology and grammar toensure conformity with editorial policy. For translations, also provide references, cross-checkfor existing translated texts, liaise regarding scheduling, and review work for inconsistenciesor omissions.
2. Desktop publishing for publications. Adapt generic templates for books, ITC papers,governance documents and co-publications to lay out publications. Work with staff andexternal authors or translators to obtain suitable formats for text and graphics. For books and governance documents, conduct layout, incorporate various rounds of changes, check pageITC job openings are available on http://www.intracen.org layouts and ensure multilingual uniformity. Design covers, tables, charts and graphics, asrequired. Liaise with graphic designer for illustrations and images; provide feedback onevolving publishing needs. For ITC papers and national versions of books, prepare all coversand review final layout; provide support for complex graphics.
3. Coordination for print and online versions. Ensure that graphics are embedded properlyand prepare files for offset printers, digital printers, web publishers, e-book providers and ITCfield partners involved in customizations or translations. Check for compatibility with supplierrequirements and accuracy where conversion errors are likely to occur, such as fonts,pagination, bleeds and colours. Check printer's proofs for conformity with specifications.Authorize final printing. Inspect and authorize distribution.
4. Publishing administration. Manage publications registration systems, and updates to theITC list of acronyms and the ITC Guide to Style for Publishing. Carry out special publicationsprojects (digitization of collections, statistics, etc.). Prepare administration for externalsuppliers. Manage filing and archives, including multiple versions of documents in production.Provide administrative assistance in the organization and running of quarterly meetings of thepublications board.
ELIGIBILITY CRITERIA
EDUCATION: Completion of secondary school education with supplementary advanced training inpublishing software.
WORK EXPERIENCE:
A minimum of seven years of experience in editorial and publishing fields.
LANGUAGES:
Advanced knowledge of English and advanced knowledge of French or Spanish, withworking knowledge of the other. Knowledge of other UN official languages is an asset.
KNOWLEDGE AND SKILLS:
Knowledge of UN terminology. Good skills in use of publishing software for books: In Design andAdobe Suite is preferred; experience in using Quark, Ventura or other publishing software for booksis acceptable. Advanced knowledge of Word. Knowledge of Excel, PowerPoint and Adobe Acrobat
