Organizational Context:
The Universal Postal Union (UPU), with its headquarters in the Swiss capital Berne, is the primary forum for cooperation between postal sector players. It helps to ensure a truly universal network of up-to-date products and services.The main role of this position are to:- Maintain and publish UPU publications and information relating to customs and airlines.- Assist in carrying out other programme-related administrative tasks.
Main duties:
1. For technical data, information and publications issued by the programme (see list of publications below):- Ensures that publications are kept up to date.
- Prepares and processes questionnaires and all incoming and outgoing correspondence relating to the maintenance of the information database and publications mentioned below.
- Extracts and checks useful information.
- Controls and ensures the coherence of data (figures, rules, lists of products, countries, etc.) to be found in the publications.
- Ensures that the publications are available on the UPU website and on CD-ROM.
- Provides assistance to the programme manager to modernize the publications (development of new tools, systems, electronic publications).

- List of Airmail Distances
- Handles general administrative functions such as performing standard translations and/or liaising with the translation services. Drafts, formats, prints and sends other Programme-related correspondence, publications and documents and liaises with other International Bureau services for this purpose.
- Assists in the drafting of meeting documents (Postal Operations Council and working groups attached to the Programme).
QUALIFICATION AND SKILLS REQUIRED
Education:
- Achieved secondary school studies.
Experience:
- At least six years' experience and knowledge in the field concerned (postal regulations/publications).
Technical knowledge:
- Excellent knowledge of Microsoft Office tools such as Word, Excel, Outlook and PowerPoint.
- Writing skills for standard correspondence.
- Practical knowledge of the postal field and of UPU bodies would be an advantage.
- Knowledge of International Bureau standards for documents and correspondence would be an asset.
Skills and abilities / competencies:
- Organizational skills and the ability to work independently under pressure and within strict deadlines.
- Ability to work productively and harmoniously with people of different backgrounds.
- Ability to show initiative and to take responsibility for producing results.
- General IT literacy and the ability to work in a modern IT environment, with a willingness to learn to use new electronic information tools.
Language skills:
- Proficiency in English or French and the ability to communicate in the other language.
- Knowledge of other languages, particularly those used in the United Nations system, would be an asset.
