The EIB, the European Union's bank, is seeking to recruit for itsDirectorate for Lending Operations outside the European Union (Ops B) - Monitoring Division (MONITOR) at its headquarters inLuxembourg, an:
Administrative Assistant
Appointment will be made on the basis of a fixed term contract of four years.
Purpose
Provide comprehensive administrative assistance to the professional staff responsible for the monitoring and disbursements of the Directorate for Lending Operations outside the European Union operations.
Operating Network
Reports to the Head of the Monitoring Division and works in close co-operation with the other administrative assistants of the division, the division's Heads of Units and professional staff, the Directorate for Lending Operations outside the European Union (Ops B) operational departments, also interacting with other Directorates (e.g. Risk Management, Legal and Projects Directorates).
Accountabilities
- Ensure the administrative coordination of the various tasks of the division in a proactive way, including updating of electronic databases, preparation and distribution of documents: typing, editing, formatting and proof-reading the text, in order to produce high quality documentation within deadlines
- Organise meetings, appointments and missions
- Carry out ad-hoc research on sectors, businesses or firms in order to keep project information up to date
- Maintain the division's filing system (paper and electronic)
- Support monitoring officers and analysts in the annual counterpart and contractual review exercise, and administrative tasks relating to the monitoring of the portfolio
- Handle any other secretarial tasks including, when required, back-up of the other assistants in the team
- Cooperate with the other administrative assistants of the team. When required, train new colleagues on Bank procedures and processes, contribute to a good working atmosphere within the division in order to facilitate the timely implementation of tasks, smooth flow of information and achievement of objectives
Qualifications
- Secondary level education, complemented with a 2-year certification in a relevant field (e.g. secretarial studies, business administration)
- At least 3 years relevant professional experience
- Good knowledge of the Bank's organisational structure, processes and procedures (and in particularly of lending operations)
- Excellent knowledge of standard computer tools, particularly MS Office tools (Word, Excel, Powerpoint)
- Excellent knowledge of written and spoken English and French. Knowledge of other EU languages would be an advantage
