Background
Under the overall guidance of the Crisis Prevention & Early Recovery Team Management and direct supervision of the designated supervisor(s), the Administration Finance Assistant provides programme support services ensuring high quality, accuracy and consistency of work.
The Administration Finance Assistant works in close collaboration with the operations, programme and project staff in Aden , the Country Office (CO) and UNDP HQ as required to exchange information and support programme delivery.
Duties and Responsibilities
- Collection, analysis and presentation of information for identification of areas for support and programme formulation/ implementation;
- Creation of projects in Atlas, preparation of budget revisions, revision of project award and project status, determination of unutilized funds, operational and financial closure of a project Presentation of information for audit of NEX projects;
- Preparation of non-PO vouchers for development projects;
- Maintenance of the internal expenditures control system including timely corrective actions on unposted vouchers, including the vouchers with budget check errors, match exceptions, unapproved vouchers;
- Creation of requisitions in Atlas for development projects, register of goods receipt in Atlas;
- Making budget check for requisitions, POs and vouchers;
- Drafting high quality correspondence for the team, and ensuring timely follow-up;
- Providing administrative support to the team, including arranging appointments and meetings, acting as an interpreter when required and/or taking minutes;
- Maintaining and updating financial records in UNDP's ATLAS management system and ensuring that the team are briefed about the financial status of the projects regularly;
- Ensuring a proper electronic and physical filing of critical project and portfolio documents;
- Undertaking other tasks as assigned by the Team;
- Review of contributions agreement, managing contributions in Atlas;
- Participation in the trainings for the operations/ projects staff on programme;
- Contributions to knowledge networks and communities of practice.

Required Skills and Experience
Education:
- Completion of secondary education;
- University degree in Business Administration, social science or related discipline would be desirable.
Experience:
- At least 5 years of relevant experience in office management.
Language Requirements:
- Arabic (mother tongue), excellent knowledge of English, written and spoken.
