Organizational Setting and Reporting
This position is located in the Office of the Secretary-General's Envoy on Youth in the Outreach Division of the Department of Public Information. The Office was created at the initiative of the Secretary-General to help advance UN programmes related to youth. The incumbent reports to the Secretary-General's Envoy on Youth.
Responsibilities
Under the direct supervision of the Secretary-General's Envoy on Youth, the incumbent is responsible for the following duties:
  • Assists the Secretary-General's Envoy on Youth in the planning and organization of activities related to supporting the United Nations System-Wide Action Plan on Youth, including the Envoy's participation in international youth conferences and other fora;
  • Monitors the status of contributions to the Trust Fund for the Office of the Secretary-General's Envoy on Youth, and follows up with various internal offices to obtain necessary clearances. Also obtains the necessary approvals for expenditures and monitors all expenditures to be charged against the Trust Fund;
  • Liaises with the Department of Economic and Social Affairs, UN funds and programmes and UN specialized agencies who are part of the Inter-Agency Network on Youth Development to share information and coordinate activities;
  • Corresponds with senior officials, including Member States, and media, related to the Envoy's meetings and official missions abroad. Performs a variety of administrative duties including maintaining the Envoy's calendar, preparing and/or processing administrative requests/documents (e.g., travel requests, expense claims, visa applications, etc.);
  • Drafts correspondence for the Youth Envoy, and compiles relevant background information for his participation in conferences and events; including recording of video messages and participation in Google+ Hangouts;
  • Provides general office assistance, including responding to information requests and inquiries about the activities and role of the Envoy on Youth; organizing meetings, maintaining files and records and handling routine administrative tasks.
  • Provides guidance/training to new staff/UN Volunteers and interns.
  • Performs other duties as assigned.

Education
  • High school diploma or equivalent.
Work Experience
  • A minimum of five (5) Several years of experience in programme or project administration, technical cooperation or related area.
  • Qualifying years of experience are calculated following the receipt of the high school or secondary school diploma.
Languages
  • English and French are the working languages of the United Nations Secretariat.
  • For the post advertised, fluency in oral and written English is required.
  • Knowledge of another official United Nations language is an advantage.
Assessment Method
  • Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.
Special Notice
Recruitment for this position is done on a local basis, whether or not the candidate is a resident of the duty station.
This position is funded by extra-budgetary resources. Extension of the appointment is subject to the availability of funds.
Passing the Administrative Assessment Support Test (ASAT) at Headquarters or an equivalent recognised locally-administered test at a United Nations Office is a prerequisite for recruitment consideration in the General Service category in the United Nations Secretariat.
Staff members are subject to the authority of the Secretary-General and to assignment by him or her. In this context, all staff are expected to move periodically to new functions in their careers in accordance with established rules and procedures.
