Position: Deputy Logistics Coordinator
Report to: Logistics Coordinator
Duty Station: Yangon (frequent travel to SI bases)

1- Objective of the position:
The Deputy Logistics Coordinator backs up the Logistics Coordinator in guiding the mission logistics activities. In particular, he/she supports the completion of urgent tasks, aids the bases, and sets up Solidarités International procedures and logistics tools. He/she takes on the functions of the Logistics Coordinator in case of absence.
2- JOB Description
Supply Management
  • Manage the Solidarités International purchasing procedures and those of the sponsors financing the mission programs.
  • Ensure the implementation of purchases, making sure they are in keeping with rules and procedures.
  • Take part in drawing up call for tenders documents as well as contracts necessitating a coordination validation.
  • Take part in selecting suppliers, and negotiating prices, deadlines and delivery modes.
  • Ensure monitoring of the supplier relationships.
  • Review the customs procedures and documentation in force in the intervention country.
Management of vehicle
  • Assist in the planning and execution of maintenance and repair work on mission vehicles.
  • Draw up the vehicle schedule
  • Ensure that a complete breakdown kit is available on board all vehicles
  • Assist in monitoring and consolidating fuel consumption and miles travelled for all vehicles
  • Prevent misappropriation of petrol and spare parts
  • Monitor the administrative documents for all vehicles Management of equipment/telecommunications
  • Ensure the mission inventory in real time.
  • Optimize distribution of materials according to task needs
  • Organize the installation, safe-guarding and monitoring of materials for mission level.
  • Install mission's communication means and ensure that they are regularly maintained Management and monitoring of IT equipment
  • Assist and supervise IT Officer to ensure antivirus software are regularly update, with adequate means for data backup.
  • Ensure the maintenance and correct use of IT equipment Human resource management
  • Analyse and quantify logistics personnel needs together with Logistics Coordinator.
  • Recruit, train and supervise the logistics team together with Logistics Coordinator.
  • Conduct performance reviews for members of the logistics team. Security
  • Assist the field teams to implement safety measures as determined by the coordination team.
  • Train teams in safety rules and procedures. Reporting/Compilation
  • Consolidate the monthly logistics reports for the bases and submit to the Logistics Coordinator on time.
  • Ensure the compilation of price lists and suppliers, as well as documents in use (import-export, exemption, taxes)
  • Take part in coordination meetings relating to logistics; represent the Logistics Coordinator upon request and/or when delegated.
3. Requirements
  • At least 4 years of professional experience in Logistics field with INGO/NGO
  • University Degree or Diploma (preferably in Logistics Or related proven experience in similar area.)
  • Knowledge of IT management and MS office (excel, word, power point and networking)
  • Demonstrated team management and planning abilities
  • Fluent spoken and written English and Myanmar
  • Good writing and communication skills
  • Flexible, reactive, trustful and calm under pressure
