Description

The purpose of this position is to support the assistant to the President of MSNA with project management, administrative support, and event planning. The role reports to the Executive Assistant to the President, MSNA. Key operating relationships will be required throughout MSNA and its internal and external customers, with important emphasis on team communication, support across the larger teams, and relationship building throughout the organization.

Responsibilities
Project management on strategic initiatives requiring focused, dedicated support for project planning, execution, monitoring and controlling, and completion to full conclusion
Administrative support for team lead on global, complex, or high-profile meetings, including planning and organization, and creating and distributing notes and action item assignments and deadlines
Administrative support for team lead on complex travel including planning, booking, and expense report management
Administrative support for team on budget and resource management, including strategic sourcing, contract and purchase order execution, invoice submission and approval processes
Internal communications content creation and production of administrative core and extended group SharePoint site and Yammer
Team traffic management support (monitor, triage and respond to internal and external requests from multiple sources)
Back up for manager
Space Planning - coordinate and manage leads on space planning for MSNA. Event and meeting planning, including lunches, AV/IT management, conference room coordination
Agendas and calendar management for major travel initiatives (MGX, WPC, field visits, etc.)
Alias and PO management
Distribution lists and access management

Skills & Experiences Requirements
Strong project management skills, including global and/or complex projects involving diverse stakeholders in a fast-paced, high-pressure environment
Expert Microsoft Office suite user (Word, PowerPoint, Excel, with deepest expertise in Outlook); Microsoft Project and SharePoint experience and skills are also highly desirable
Extensive experience planning and managing global and/or complex travel
Extensive experience planning and managing global and/or complex meetings with stakeholders from multiple regions and corresponding time zones
Experience managing invoices and expenses using online tools 
Strong writing and editing skills, including copyediting and proofreading
Proactive and independent problem-solver, able to overcome expected and unexpected challenges with calm and ease with minimal direction
Clear and compelling communicator, able to articulate a position, issue, or need to a range of audiences, including senior stakeholders
Highly organized and detail-oriented approach, able to execute and track against multiple work streams simultaneously and prioritize appropriately
Flexible and adaptable, able and willing to listen and learn from feedback and direction, and adjust priorities and/or work product or processes as required
Strong interpersonal and relationship-building skills, able to network and communicate to help ensure team cohesion and project success  
Constantly learning and upskilling in response to industry trends, new standards, and emerging best practices
