Organizational Location
Procurement Services Branch (PSB) in Copenhagen. The position reports to the Client and Partner Relationship Manager in PSB, and provides analytical and reporting services related to metrics, business process and reporting to internal and external donors related to PSB work and in support of AccessRH and the Reproductive Health Interchange.
This position is funded by the Global Programme for Reproductive Health Commodity Security; funding exists only through December 31, 2013, with a goal to have the position for three years through June 2016 (funding pending for January 2014-June 2016).
Job Purpose
The role is responsible for compiling accurate, timely reports and metrics for PSB for submission to donors and UNFPA management and other stakeholders as directed. The following work is required:
  • Preparation of performance indicators and statistics related to PSB results.
  • Definition of, improvement to, and documentation of PSB and related business processes, standard operating procedures, systems requirements, audit findings, and similar.
  • Collection of data for input to and preparation of reports and presentations for PSB, donors, auditors, and other stakeholders.
  • Administration, input, and data quality management related to the Reproductive Health Interchange.
Major Activities/Expected Results
Preparation of performance indicators and statistics related to PSB results.
  • Collect, collate, interpret, and report data required for ad-hoc, monthly, quarterly, and annual indicators related to PSB, AccessRH, and Reproductive Health Interchange performance. These may include price-, performance- or other related results related to key performance areas of PSB's work (internal, with other UNFPA business units, or with other stakeholders, such as donors).
  • If requests are received for data that is not immediately or readily available, bring this to the attention of PSB management and suggest possible information sources.
  • Administration of questionnaires to assess AccessRH customer satisfaction, PSB performance, supplier feedback, and related work.
Definition of, improvement to, and documentation of PSB and related business processes, standard operating procedures, systems requirements, audit findings, and similar.
  • Provide technical assistance in the development of financial, procurement, IT, forecasting, and other procedures.
  • Enhance existing procedures.
  • Track and assist with preparing responses related to audits (external, BOA, etc.)
  • Assist in the design, development, and testing of functionality for the AccessRH web portal.
  • Produce related process documentation and training materials for PSB staff.
Collection of data for input to and preparation of reports and presentations for PSB, donors, auditors, and other stakeholders.
  • Coordinate and track the collection of data from varied sources, contacting all contributors to ensure that information is received in time for reports to be prepared within the established deadlines for submission.
  • Prepare narrative and financial reporting in different formats for specific reports.
  • Prepare tables, charts and reports and submit for necessary review/approvals by PSB.
  • For non-standard reports, determine what information can be provided and advise the requestor if any information cannot be made available. Contact appropriate sources to compile the required report, or provide the necessary data.
  • Prepare Power Point or other special presentations and briefings to UNFPA senior management, donors, auditors, and other stakeholders (such as the Reproductive Health Supplies Coalition).
  • Assist in the preparation of material for use in training workshops or briefing sessions for Country Office or recipient country personnel.
Administration, input, and data quality management related to the Reproductive Health Interchange (RHI).
  • RHI Administration and Data Quality Management
  • Solicit, validate, and process manual data submissions from RHI data submitters using the RHI Excel tool.
  • Responding to queries from users of the RHInterchange website, including user registration requests and new data submitters.
  • Identify, investigate, and resolve issues with RHI data through interfacing with the PSB IT team.

Job Requirements
Education:
  • Completion of Secondary education required.
  • University degree with a focus on business administration, finance, accounting, journalism, statistics, or related fields would be useful, but is not a requirement.
  • PRINCE II foundation qualification
  • CIPS Level II
Knowledge and Experience:
  • Minimum six years' work experience, preferably in an international customer-focused organization
  • Previous experience in report writing.
  • Advanced User of MS Excel, Word, and Power Point.
