    UNU International Institute for Global Health (UNU-IIGH)

    The UNU-IIGH undertakes research, teaching and capacity development and dissemination of knowledge related to key issues of human health. The aim is to contribute to the development and strengthening of health services policy frameworks and management actions, particularly for people in developing countries, and to support implementation of promotive and preventive approaches to human health.     Responsibilities

    Under the authority and guidance of the Director of UNU-IIGH and working under the direct supervision from the Executive Associate to the Director of UNU-IIGH, the Receptionist works in close collaboration with other staff to provide administrative support by performing a variety of tasks as follows:
    • Screens phone calls and visitors; responds to moderately complex information requests and inquiries (e.g., providing directions, answers requests requiring file search, etc.) and, when necessary, refers inquiries to appropriate personnel for handling;
    • Updates the UNU-IIGH House telephone list and UNU-IIGH Directory, addresses of contacts in the Government, international organizations, embassies and NGOs, and other important contacts.
    • Provides secretarial, administrative and logistics support to meetings, boards, committees, conferences, etc.;
    • Maintains calendar/schedules; monitors changes and communicates relevant information to appropriate staff inside and outside the immediate work unit;
    • Reviews, records, distributes and/or processes mail and other documents, and follows-up on impending actions;
    • Assists in maintaining the appearance of the library, sorts and shelves library materials, and provides routine information and assistance to Research Fellows, staff and students;
    • Updates and maintains large distribution lists; monitors, prepares and distributes various materials and reports, where possible using electronic formats, handles arrangement for printing and translation as necessary, coordinates shipment arrangements and courier services, etc.;
    • Performs other duties as assigned.
    Work implies frequent interaction with the following:
    • Staff in related organizational units across UNU and other UN agencies;
    • Visitors and representatives from Permanent Missions, UN Common System and other international organizations, NGOs, etc.

    Required qualifications and experience

    • Completion of secondary education;
    • At least one (1) or two (2) years of progressively responsible experience in related area. Experience in an international organisation is desirable but not essential;
    • Competence in MS Office applications and in handling web-based management system;
    • Knowledge of United Nations procedures, or operations applicable to clerical assignments, such as preparing various routine correspondence or reports, maintaining files or records, reviewing and processing mail is desirable;
    • Excellent communication skills with fluency in spoken and written English. Working knowledge of Bahasa Malaysia and/or any other United Nations official languages is an asset;
    • Good team player with strong interpersonal skills demonstrated by the ability to work in a multi-cultural, multi-ethnic environment with sensitivity and respect for diversity.

    Remuneration

    Remuneration will be commensurate with qualification and experience according to suitability of candidates.

    Duration of contract

    This is a full-time employment on a one (1) year Personnel Service Agreement (PSA) with UNU-IIGH, with the possibility for renewal subject to satisfactory work performance.
     
    This is a locally recruited post and no relocation allowance applies. The post is limited to a person residing in Malaysia, including non-Malaysians holding a valid working visa. The successful candidate will be employed under a local contract and will not hold international civil servant status nor be a “staff member” as defined in the UN Staff Rules and Regulations.
