Organizational Context:
The role reports to the PTD Director, and the ERP Project Manager for all ERP-related matters. Work relations cover, amongst others, the ERP Team, Information Technology, Finance, Budget, HRMD, PTD, Internal Audit Function and the Office of the Legal Counsel. The expected length of the assignment is six months.
Main duties:
Key Tasks and Deliverables:
(a) analyze the current process of handling Special Service Agreements (SSAs), audit recommendations made in this respect, the proposed Office Instruction and related documentation and procedures;
(b) gather, analyze and integrate the needs of different stakeholder groups and design and document to-be processes aligned with needs. Identify and articulate issues;
(c) define, document and implement sub-processes, workflows and tools such as:
Registration of potential individual contractors (roster)
Pre-certification of individual contractors
Assessment and recording of performance of individual contractors
(d) review and adapt contract templates if necessary;
(e) collaborate with the ERP team for the integration of the procure-to-pay process for individual contractors into ERP;
(f) communicate process changes, enhancements, and modifications - verbally or through written documentation - to PTD management, peers, staff, and others so that issues and solutions are understood;
(g) document business procedures relating to new functionality, establish guidelines and end user training materials;
(h) train end user community as and when necessary.
REQUIRED QUALIFICATIONS
Education:
University degree or equivalent technical or commercial qualifications in Procurement, Business Administration, Human Resources, Information Technology or related discipline.
Experience:
Experience with business and technical requirements analysis and business process modeling/mapping, methodology development. Project management experience an advantage.
Skills:
Sound understanding of procurement processes and procedures.
Ability to review and write technical documentation.
Excellent analytical and problem-solving skills.
Excellent interpersonal, written and oral communication skills, strong customer-service orientation.
Ability to effectively prioritize and execute tasks while under pressure.
Confident user of Microsoft Office applications (Word, Excel, Outlook, PowerPoint). Familiarity with Project and/or Visio an advantage.
Languages:
Excellent knowledge of English. Knowledge of French an advantage.

Remuneration:
Indicative remuneration from 8,800 Swiss francs per month depending on qualifications, experience, skills and delivery.
