RESPONSIBILITIES
Under the direct supervision of the Senior Programme Officer Export Packaging, the Senior Adviser, Standards and Quality Management and the Adviser, Business Networks and under the generalguidance of the Chief, Enterprise Competitiveness Section (EC), the incumbent will provide supportto the EC Section Business Networks, Packaging and Quality components: ITC job openings are available on http://www.intracen.orgï‚
  • Serve as focal point for administrative coordination of the afore-mentioned programme/projectimplementation activities, involving extensive liaison with diverse organizational units to initiaterequests, obtain necessary clearances, process and follow-up on administrative actions.
  • Create documents in the Integrated Management Information system(IMIS), related to requestsfor hiring of consultants, travel authorizations and related travel advances, general reservationof funds for Authorizations of Field Expenditures (AFEs), Memoranda of Understanding (MOUs)and grants, requisitions for contracts, goods and services, consultants emoluments and invoices.
  • Follow up on processing of the documents and notify field offices for action taken on theirentries.
  • Provide general office assistance. Review, log and route incoming correspondence related toBusiness Networks, Packaging and Quality.
  • Receive visitors and schedule appointments;
  • receive telephone calls, provide relevant information or refer callers to appropriate staff; providesecretarial support services for meetings, taking minutes when required.
  • Maintain the databaseand the filing system containing working documents, reference material, correspondence, andrecords necessary for daily project support.
  • Establish and maintain databases of contacts in partner countries and organizations.
  • Act as thefocal point for the consolidation and update of information in the Client RelationshipManagement (CRM) system related to the EC Business Networks Packaging and Quality components.
  • Provide support on the consolidation, update, and sending for reproduction of theWorld Directory of Information Sources on Standards, technical regulations, certification, eco-labeling and quality management schemes.
  • Answer standard enquiries related to the Enterprise Quality Management programme (EQM)and send publications or compile reference material, as requested.
  • Contact hotels or other host facilities for meetings, seminars, trainings or other group events;ensure that required rooms, meeting space and/or equipment is available;
  • verify availability offacilities on dates scheduled; obtain cost information and prepare tentative budgets.
  • Provide short translations of correspondence/documents whenever necessary into French orEnglish.
  • Act as alternate to the EC Senior Secretary.
  • Perform other related duties as required.
ELIGIBILITY CRITERIA
EDUCATION:
Completed secondary education, supplemented by secretarial or office administrationexperience.
WORK EXPERIENCE:
  • A minimum of five years of progressively responsible experience working as asecretary or administrative assistant within a multicultural environment.
  • At least two years ofexperience should be within the UN System or other international organizations.
LANGUAGES:
Advanced knowledge of English with a working knowledge of French. Advancedknowledge of French is highly desirable. Knowledge of other UN official language is an assetKNOWLEDGE AND SKILLS: Proficient level of computer skills in MS Office 2010. Knowledge of IMIS or asimilar integrated management information system and familiarity with ITC rules, practices andprocedures would be an asset.

Appointments with ITC are service-limited to this organization. The conditions of service are governedby the United Nations Staff Rules and Regulations. This is a fixed term appointment
INDICATIVE ANNUAL SALARY AT THE G-5 LEVEL
