Organizational Setting and Reporting
This position is located in the Architectural Studies and Space Management Sub-Unit, Buildings Unit, Buildings and Engineering Unit, Central Support Services, Division of Administration, United Nations Office at Geneva.
Responsibilities
- Within delegated authority, the Facilities Management Assistant will carry out the following duties:
- Prepares scope of works, technical specifications, bill of quantities and AutoCAD Drawings for civil construction and renovation works.
- Prepares the planning of works in coordination with stakeholders and ensures the works are delivered according to plans.
- Inspects areas of the complex to ensure use and maintenance of safety standards and equipment identifying problems and providing solutions.
- Coordinates construction projects and liaises with contractors and in-house services.
- Participates in technical evaluation panels and insures that procurement and financial rules are respect.
- Reviews contractors' invoices and assists with cost recovery as required.
- Surveys areas for construction or renovation: location of partitions, electrical and LAN outlets, and finalizes proposals for implementation of work.
- Coordinates, monitors and supervises work performed by contractors to ensure adherence to work schedule and guidelines.
- Coordinates construction and renovation works with other services such as Technical, Information technology and Security.
- Ensures the submittal of complete shop drawings and operation manuals when necessary.
- Maintains and updates AutoCAD plans and drawings used as reference information by the unit.
- Ensures that projects meet codes and safety and security standards.
- Performs other duties as required.

Education
High school diploma or equivalent. Bachelor in engineering or architecture would be an asset. Must have passed the United Nations Administrative Support Assessment Test (ASAT).
Work Experience
At least five years of experience in civil work supervision, facilities management, engineering, architecture, or related area.
Qualifying years of experience are calculated following the receipt of the high school or secondary school diploma.
Languages
English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written French or English is required with knowledge of the other. Knowledge of another official United Nations language is an advantage.
Assessment Method
Evaluation of qualified candidates includes an assessment exercise which will be followed by competency-based interview.
