Job: Volunteer and External Relations Coordinator

BACKGROUND:
Founded in 1933, the International Rescue Committee (IRC) is a leading non-sectarian, voluntary organization providing relief, protection, and resettlement services for refugees and victims of oppression or violent conflict. The Suburban Washington Refugee Center, where the IRC's Silver Spring resettlement office is located, has resettled more than 2,000 new refugee arrivals, providing them a fresh start and opportunities to use their greatest resources—their motivation, their skills and their experiences—to become independent and self-sufficient new Americans. Currently, the office resettles and/or provides assistance to over 700 refugees and asylees each year.
SCOPE OF WORK:
The Volunteer and External Relations Coordinator serves as a member of the External Relations Team, working closely with the Development Manager to increase community awareness of and increase support for the IRC in Silver Spring. The Coordinator works to ensure IRC Silver Spring has an adequate number of qualified interns and volunteers to support the programs and client services. The position also maintains a supply of in-kind donations to support refugees and asylees in achieving self-sufficiency as quickly as possible. In addition, in collaboration with the Development Manager, the Coordinator will craft and disseminate content to be used for social media and internal communications.
Responsibilities:
Intern and Volunteer Coordination
  • Maintain accurate and up-to-date job descriptions for all volunteer and internship positions.
  • Recruit, screen, orient, train and match volunteers and interns with appropriate service opportunities, in accordance with IRC national volunteer guidelines.
  • Identify professional development opportunities for interns.
  • In collaboration with the Development Manager, host staff trainings on intern and volunteer management request procedures and processes and daily management of interns and volunteers.
  • Maintain individual files and an office-wide database on all volunteers and interns, ensuring all required documentation is complete, accurate and on file.
  • Record and report all volunteer time and keep accurate, appropriately documented electronic records of service time.
  • Host volunteer and intern appreciation events.
  • Host, upon request, site tours and coordinate, as appropriate, group volunteer or one-day individual volunteer opportunities
  • Hold regular check-in meetings with volunteers and interns.
  • Respond to volunteer inquiries swiftly and keep volunteers informed about news and events using the Volunteer Facebook page and email.
  • Work collaboratively with Suburban Washington Resettlement (SWRC) partners to maximize efforts of IRC interns and volunteers.
  • Act as a liaison for the VISTA volunteer program, at the IRC in Silver Spring and the IRC in Baltimore, and manage the VISTA program in Silver Spring.
External Relations and Communications
  • Assist with the creation and dissemination of content for social media and other external communications.
  • Work with IRC staff to identify client and program needs, including needed volunteer support and to develop stories to be shared with the public.
  • Raise awareness about refugee resettlement and recruit volunteers and interns through participation in outreach events at colleges and universities.
  • Work collaboratively with the Development Manager and External Relations Committee (to be established) to coordinate and execute events (i.e., Open House, Thanksgiving, World Refugee Day).
  • Maintain an inventory of information packets for visitors and meetings.
In-Kind Donations Coordination and Management
  • Work collaboratively with SWRC partners to manage the 'donations store', ensuring that the facility is organized and stocked to meet SWRC client needs.
  • Ensure that all outgoing donations are accurately tracked in a donations database.
  • Work with program managers to forecast/identify in-kind donations needs.
On at least a quarterly basis, coordinate in-kind donation drives.
  • Solicit donations to specifically benefit Matching Grant (MG) clients.
  • Each month, use donation records and volunteer hours from the preceding month to calculate the value of donations
  • Manage the stewardship and recognition of in-kind donors.
This position reports to the IRC Silver Spring Development Manager.
This position has no direct reports.
REQUIREMENTS:
  • Bachelor's degree required; c ertification in Volunteer Management desired.
  • 1 to 2 years related experience in media, communications/outreach, and event planning.
  • 1 to 2 years demonstrated record of success in creating and managing volunteer programs.
  • Event planning and coordination experience required.
  • Outcome driven work style, establishing clear expectations and ongoing measurement of performance toward achieving targeted outcomes.
  • Proven ability to manage multiple projects and deadlines, to work independently as well as in a team.
  • Knowledge of program design and/or experience in social services delivery.
  • Superior writing and editing skills; excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office required. PowerPoint and Publisher proficiency highly preferred.
  • Proven experience managing social media (Facebook, Twitter, etc.) beyond a basic level preferred but not required.
