CIFOR is looking for a Secretary
Overview
Under the supervision of the Principal Scientist, the secretary will provide general secretarial and administrative support to the Environment Research team.
Specific duties and responsibilities
- Coordinate the Principal Scientist's and/or related ENV team's schedules and agendas.
- Provide administrative support such as correspondence (including translation), take and write-up minutes of meetings, write reports, prepare presentation materials and other written and illustrative materials as required.
- Assist in the completion of requisition and travel authority forms, and arrange travel and accommodation etc.
- Assist in the planning and coordination of meetings, workshops, seminars, visits or other events in or outside CIFOR; responsible for logistical matters for events such as accommodation, transportation (both air and ground), distributing invitation letters, liaising with the relevant departments in the visa/permit process and other logistical matters as necessary. These activities are conducted in coordination with the Events Coordinator, Finance & Administration office, HR office and other relevant staff or offices.
- Manage and maintain the filing system, database and web-based applications or repositories.
- Support the development of contracts for partners and collaborators, and liaise with the relevant offices in the finalization of the contracts.
- Maintain and monitor office supplies and other office requirements.
- Perform other tasks as may be required to support the smooth functioning of the office, and support and work with colleagues within the office and with other CIFOR staff.
Additional details of duties, assignments and objectives will be further discussed and laid out in the staff's annual performance contract/work plan.
Requirements
Education, experience and technical skills
- Diploma in secretarial, administration or other related fields.
- Three or more years experience in secretarial duties.
- Knowledge of administrative standards and practices.
- Knowledge of finances would be an advantage.
- Fluent written and spoken English, able to draft letters in official English and conduct business in English through email and other means of communication.
- Good computer skills in word processing, spreadsheets, presentations, internet and other relevant office applications.
- Knowledge of CIFOR procedures would be an advantage.
Personal attributes and competencies
- Competent in personal organization and priority setting, with the ability to work efficiently when under pressure and manage multiple priorities.
- Have initiative; capable of working independently and as an effective team player.
- Good interpersonal and communication skills, with the ability to effectively interact with people in a multi-disciplinary and multi-cultural environment.
- Experience working with a wide and diverse network of groups and individuals.
Terms and conditions
- This is a nationally recruited position.
- CIFOR offers a competitive remuneration commensurate with skills and experience.
- The appointment will be for 3 years, including a 6-month probationary period, with the possibility of extension contingent upon performance, continued relevance of this position and available resources.
- The duty station will be at CIFOR Headquarters in Bogor, Indonesia.
