ORGANIZATIONAL SETTING
The Human Resources Section (HR) has a transversal function in the organization and its aim is to ensure that ITC has the right quality of Human Resources with the appropriate skills and competencies in order to achieve its strategic and operational goals and to provide staff with a supportive, challenging and rewarding work environment in order for them to fulfill their potential and maximize their contribution to the organization.
It is divided into four units:
  • Management
  • Staff Members' Compensation and Benefits
  • HR Operations (Recruitment and Selection, Job Classification and Associate Expert Programme)
  • Training and Consultants
This post is located within the Management, Policy Unit.
RESPONSIBILITIES
Under the direct supervision of the Senior Human Resources Officer and the general guidance of the Chief, Human Resources the incumbent will be responsible for the full range of office management and administrative support related to operational and policy activities in the Policy Unit.
More specifically, s/he:
  • Independently coordinates the organization and logistics of training workshops, training events, presentations and briefings related to the activities of the HR Policy Unit.
  • Develops content and updates the Policy Unit Intranet portal.
  • Participates in all policy outreach activities and handles day-to-day queries related to policy outreach activities and policy processes.
  • Recommends improvements to policies, processes and systems and assists in the development and regular revision of HR policies, strategies, plans and manuals.
  • Assists in the implementation and monitoring of key policies and in the updating of the administrative issuance database and review of new and historic administrative issuances.
  • Assists in the preparation and drafting of a variety of communications, reports and documentation, information circulars, correspondence and flyers.
  • Prepares statistical reports on a wide range of HR related topics; provides a preliminary analysis on data trends against key HR targets and objectives; undertakes the necessary research and coordination to collect information for reporting purposes.
  • Monitors the status of budgets and assists in the preparation of budget revisions.
  • Acts as focal point for the development and maintenance of IT tools related to the Policy Unit area of work.
  • Maintains the integrity of the Policy Unit e-files and databases.
  • Performs other related administrative duties, as required.
ELIGIBILITY CRITERIA EDUCATION:
Completed secondary education.
WORK EXPERIENCE: A minimum of five years of progressively responsible experience in a clerical, administrative role.
LANGUAGES: Advanced knowledge of English. A working knowledge of French or Spanish is desirable. Knowledge of other UN official languages is desirable.
KNOWLEDGE AND SKILLS: Strong knowledge of Microsoft Office applications, particularly Word, Excel and PowerPoint.
Knowledge of UN regulations and rules, HR policies, procedures and processes would be an asset.
Excellent drafting skills. Strong organizational, planning, communication and research skills. Ability to maintain accurate records and to analyse a wide variety of data. Ability to identify data discrepancies and other problems and to recommend solutions.
Ability to work well in a team.
Ability to behave with integrity, client orientation, sensitivity and to work with people from different backgrounds and nationalities with efficiency, tact and discretion.

TERMS OF SERVICE
Appointments with ITC are service-limited to this organization. The conditions of service are governed by the United Nations Staff Rules and Regulations. This is a fixed term appointment.
INDICATIVE ANNUAL SALARY AT THE G-5 LEVELAnnual Salary (net of tax) CHF 75,093 at single rate, with annual increments subject to performance. For further information please consult the International Civil Service Commission website: http://icsc.un.org
