Description

The EIB, the European Union's bank is seeking to recruit for the PERSONNEL Directorate - Operations and Employee Relations Department - Operations Division - Individual Rights Unit at its headquarters inLuxembourg, an:
Operational Assistant
Appointments will be made on the basis of a 1 year fixed term contract
Purpose
The Administrative Assistant will provide specialist administrative assistance in relation to the rights and benefits of the staff members of the EIB Group.
Operating Network
Report to the Head of Division and work under the supervision of the Head of the Individual Rights Unit; work in close cooperation with all Division members.
Internal contacts: All directorates at all levels
External contacts: Extensive contacts with external service providers and local authorities
Accountabilities
  • Coordination and execution of the range of administrative tasks related to requests for education allowances (follow-up of student grants, input of weightings etc.)
  • Coordination and execution of the range of administrative tasks related to removals (upon entry into service, departure from service and transfers between offices) including the checking and follow-up of invoices
  • Monitoring and payment of the installation and resettlement allowances
  • Entering overtime payment data in PeopleSoft HR
  • Contacts with various local authorities (ministries, local administrations, European School etc.) and external providers (AGS Coussaert)
  • Preparing administrative certificates
  • Dealing with diverse administrative requests during shifts on the Personnel Info Desk
  • Undertaking related electronic and paper filing and archiving for the team
  • Executing other administrative tasks within the unit, as necessary
  • Replacing absent team members, if required
Qualifications
  • Certified secondary-level education, complemented with a 2-year certification in a relevant field (e.g. secretarial studies)
  • Minimum of three years of professional experience in an administrative role. Experience within Human Resources would be an advantage
  • Good knowledge of standard computer tools: Word, Excel, BO, Powerpoint. Knowledge of the specific Human Resources package (PeopleSoft) would be an advantage
  • Practical knowledge of filing and conservation of documents
  • Very good knowledge of English and French; knowledge of other EU languages would be an advantage
