Manager, Transportation with Facilities Management Services under the Office of the Deputy Executive Director (Advertisement #277/13)
icddr,b invites applications from suitable candidates for the position of Manager, Transportation with Facilities Management Services under theOffice of the Deputy Executive Director. The appointment will be made on a fixed-term basis for 2 years, which is renewable depending on performance and availability of funds.
Duty station - Dhaka
Salary - Annual Tk.853,860/- inclusive of house rent and conveyance allowances with other admissible benefits.
Benefits/facilities â€“ 14.8% retirement fund contribution by icddr,b, children allowance @Tk.1,420/- per child per month, medical facilities for dependent spouse and children, group life insurance. Subsidized canteen, transport and daycare facilities subject to availability.
Job Profile
  • Planning and Organising: Derive goals and objectives for Transport Services and maintain alignment with functional strategy and stakeholder expectations; Plan for financial and non-financial resources; Allocate budgets and responsibilities amongst different teams; Guide team members to set individual goals and objectives for respective teams in order to make an effective road map for the Transport Services.
  • Local Transportation: Create transport plans (covering modes of transport, routes etc) for various requisitions; Track adherence to the transport plan; Devise transport policies and processes; Maintain transport infrastructure and continuous improvement of process automation; Process transport requisitions; Take regular feedback from users in order to ensure smooth fleet operations and effective service delivery.
  • Control, Review and Compliance: Review progress against goals (timelines, budgets etc.) for Dhaka and Matlab; Monitor adherence to process, policies and other applicable statutory requirements; Identify areas of non-compliance and discuss them with respective teams; Guide teams to take corrective action; Resolve escalated queries and customer complaints; Coordinate with various sections/teams to ensure timely maintenance of vehicles, renewal of vehicle certificates and permits, optimum use of transportation resources including spares, fuel and lubricants in order to lower costs and maintain adherence to icddr,b policies and guidelines.
  • Managing Transport Contracts: Coordinate with Procurement for tender document preparation; Review transport contracts for compliance with internal icddr,b policies and flag any issues; Provide inputs on tender evaluation and finalise vendors; Review all transport contracts for progress and performance; Coordinate with Procurement to suggest and implement improvements; Monitor expiration of contracts; Liaise with Procurement for renewal of contracts; Monitor compliance to terms and conditions for all transport contracts; Identify areas of non-compliance and guide team to take corrective action; Seek feedback from contractors and resolve issues / contractual disputes raised by them in order to provide effective and efficient services to customers via vendors.
  • Customer Relations and Stakeholder Management: Identify appropriate internal stakeholders; Collaborate with stakeholders to understand requirements and manage expectations realistically; Build trust with internal customers / stakeholders and facilitate open communication; Act as a point of contact for customer grievances related to transport; Address and resolve customer complaints in order to increase customer / stakeholder satisfaction and serve the stakeholders effectively.
  • People Management: Interview candidates and make hiring recommendations, if required; Promote a spirit of collegiality and gender diversity amongst team members and in the organization; Encourage team members to collaborate across areas; Address and resolve any diversity related issues; Set goals and conduct appraisals for the team; Set high standards and confront poor performance where needed; Mentor young professionals and prepare them for higher responsibilities; Identify and reward high performers; Recommend promotions; Take appropriate actions to manage poor performance (such as creating Performance Improvement Plans, coaching, job rotations, planning separations from icddr,b) in order to build and develop an engaged and high performing team.
Requirements:
Education and Relevant Experience
  • Graduation in Automobile/Mechanical Engineering or Management or Masters in Business Administration;
  • 5-7 years of experience in managing a large transport pool in an international organization with at least 3 years experience in managerial capacity.
