The Administrative Assistant's primary role is to perform the general administrative duties required to support the Istanbul office, including but not limited to the key responsibilities listed below.
Key Responsibilities:
  • Reception - Primary responsibility for answering, screening and transferring incoming telephone calls to main number; greet and direct visitors; retrieve voicemail for general mailbox.
  • Facilities & Security Support - coordinate access and security with landlord
  • Shipping & Receiving - Prepare and ship international and domestic documents and packages including dealing with customs and shipping requirements
  • Mail processing - ensure all mail is promptly sent and received, date stamping, scanning (if required) and logging in documents
  • Office Services & Purchasing/stocking - organize regular of office supplies and kitchen supplies; stock copiers with paper; generally tidy office space
  • Assist visiting ICANN staff with local needs such as dinner reservations, taxis, etc.
  • Provide other assistance as requested by head of Istanbul office and other staff
Required Skills
  • Must have excellent communication skills including fluency in English and Turkish
  • Proficiency using Excel, Word and Outlook required.
  • Knowledge of PowerPoint and Adobe preferred.
  • Proven ability to compose clear reports, summaries and other written communication
  • Detail-oriented and organized with ability to multi-task
  • Excellent follow-up skills required
  • Ability to work with highly diverse global workforce
  • Ability to work independently (self-motivated)
  • Effective management of time and resources
Required Experience
  • Minimum 2 years related administrative experience
  • College degree preferred.
  • Prior international experience strongly preferred.
  • Strong organizational, project/time management and multitasking skills.
