The EIB, the European Union's bank, is seeking to recruit for its Secretariat General (SG) - Economic Department (ECON) an:
Administrative Assistant
This is a full-time position
Appointment will be made on the basis of a fixed term contract of 4 years
Purpose
The Administrative Assistant will provide the full range of secretarial and administrative tasks in support of the day-to-day work of the Department.
Operating Network
The selected candidate will report to the Head of Department and is expected to work with all ECON Divisions as secretarial staff are organised as a pool. The selected candidate will work with all Department members.
Specific environment
The successful candidate will be dealing with all administrative tasks of the department, working in the secretariat pool, sharing the workflow with other assistants. She will also be significantly involved in the organisation of external Economic conferences or Roundtables in coordination with other EIB staff from COM Publications, COM Media and Protocol Events, in addition to external counterparts, including speakers, consultants and all contacts related to the deriving publications. She will help disseminate knowledge inside the department, by taking responsibility for the ECON Newsletter. She will provide strong support as editor of notes and publications. She will have close contact with other IFIs at operational level.
Accountabilities
- Assist in the accurate preparation of economic documents, finalisation and administration of publications such as economic notes, journal articles, dedicated publications and MC notes
- Editorial work for the most relevant publications of the Department
- Assist and ensure follow-up of all administrative procedures relevant to the activities of the Economic Department
- Preparation and verification of data to be used in economic analysis
- General secretarial duties and administrative tasks, including telephone coverage, mail/document control and distribution, filing, organisation of meetings
- Preparation of business trips and follow-up with expense reports
- Preparation and follow-up of documents underlying use of consultants in the Department
Qualifications
- Secondary level education ideally complemented with a 2-year certification in a relevant field (e.g. secretarial studies, business administration).
- Minimum 3 years relevant professional experience
- Good knowledge of the Bank's standard office tools, particularly Word, GED, Serapis and knowledge of Excel and PowerPoint would be useful
- Some training in data management or economics would be an advantage
- Excellent knowledge of written and spoken English and a good command of French.Ability to work in other languages will be an important advantage
