Duties & Responsibilities
Under the supervision of the Director of the Secretariat of the Assembly, the incumbent will perform the following tasks and responsibilities:
Plan, organize, coordinate and supervise the provision of the technical servicing needs of the Assembly sessions held in The Hague and at United Nations headquarters in New York, as well as of its subsidiary bodies, including inter alia: the annual sessions of the Assembly, the two annual sessions of the Committee on Budget and Finance, the Advisory Committee on Nominations of Judges, The Hague Working Group meetings and, as appropriate, the meetings of the Oversight Committee on permanent premises and of the Bureau.
The services to be provided, within the respective budget allocation and timelines, include: security, interpretation, badges, catering, hospitality, supplies, information technology, printers and copiers, etc.;
- Substantive servicing of the Assembly, and its Bureau, and other subsidiary bodies, as appropriate, including through note taking and the preparation of summaries of the discussions, revision of documentation and liaising with delegations;
- plan and prepare the guidelines to organize the lists of speakers at ASP sessions;
- provide protocol advice and develop protocol guidelines as necessary ;
- Supervise the preparation, translation and reproduction of documentation;
- As per the specific needs of each session, and meeting, plan the various services required including physical facilities and meetings services and supervise their operations;
- make arrangements for interpretation and translation ;
- prepare and review draft contracts with external providers of services and coordinate, as appropriate, the provision of services from Court units for sessions held in The Hague;
- Liaise with inter-governmental organizations and non-governmental organizations;
- Provide delegations/Court officials/IGO/NGO/the general public with information required;
- Provide information concerning the organization and activities of the session, conference or meeting, respond to specific requests from delegations and supervise the distribution of documents to meeting rooms;
- exchange information relevant to conference services with the substantive services engaged in the sessions/meeting;
- Carry out measures for ensuring orderliness and security;
- Assist with managing the Trust Fund for the participation of least developed countries and other developing States;
- Maintain files of general information on sessions/meetings and complete various forms concerning meetings;
- supervise the general archives of the office, in both hardcopy and digital formats;
- Supervise the maintenance of up-to-date information on composition of missions/embassies, delegations, governmental and non-governmental bodies and other constituents of the Court; receive, evaluate and process requests for participation and provide related information and advice;
- Assist in overall administration and property management functions of the Secretariat, including hiring of temporary language/conference servicing staff;
- monitoring of attendance and preparing draft budgets;
- Assist in drafting reports at the ASP and its subsidiary bodies, as appropriate;
- take notes of discussions, prepare a draft summary for approval by Director, and, subsequently by the Assembly or its subsidiary bodies;
- Support the Director with key administrative and protocol matters, including the improvement of administrative procedure and systems to ensure smooth functioning of the Secretariat;
- Draft letters/notes for approval by Director considering background letters, notes, correspondence and the Secretariat mandate.
- Prepare and maintain travel and meetings calendars / work programmes for the ASP President, the ASP Vice-President, and the Director of the ASP Secretariat;
- Supervise the overall structure and presentation of the website of the Secretariat both in contents and format, including the preparation of material for posting on the website;
- Perform ad hoc tasks, as requested by the Director, including assistance in supervising the editing/translation documents/correspondence, preparation of material for publications, such as press releases, ASP/UN Journals, ASP publications, and audio/video material.
- Contact with the President of the Assembly, members of the Bureau, members of subsidiary organs of the Assembly, representatives of States, officials of the Court and their staff, representatives of inter-governmental organizations, representatives of non-governmental organizations and the general public on issues related to the Assembly.
- Represents the ASP Secretariat at any relevant meeting, if necessary.
Essential Qualifications
Education:
University degree in Economics, Business, Public Administration, International Relations or relevant field.
Experience:
- A minimum of four years of relevant professional experience (two years with an advanced university degree).
- Knowledge, Skills and Abilities:
- Excellent interpersonal skills;
- Excellent communication skills both in writing and oral;
- Excellent planning and organizing skills;
- Professionalism in applying judgment in the context of assignments given;
- Knowledge of office ERP systems (e.g. SAP);

Language Requirements:
- Fluency in either of the working languages of the Court, English or French, is essential.
- Working knowledge of the other is desirable.
- Knowledge of another official language of the Court would be considered an asset (Arabic, Chinese, Russian or Spanish).

The selected candidate will be subject to a Personnel Security Clearance (PSC) process in accordance with ICC policy. The Court reserves the right not to make any appointment to the vacancy, to make an appointment at a lower grade, or to make an appointment with a modified job description. The ICC is willing to apply the 'Inter-Organisation Agreement concerning Transfer, Secondment or Loan of Staff among the Organizations applying the United Nations Common System of Salaries and Allowances' or 'the Inter-Organisation Mobility Accord' on a reciprocal basis.
