Job: Programme Assistant, (Temporary)

Description
RESPONSIBILITIES:
Under the supervision of the Chief, Strategic Planning the incumbent will provide reliableadministrative coordination of programme/project planning and preparation activities and generaloffice support services in any of the following areas;
  • Assisting in the coordination of programme/project planning and preparation work for, typically, amedium-size and complex component of the departmental programme/project initiatives;
  • monitoring status of programme/project proposals and receipt of relevant documentation forreview and approval;
  • Compiling, summarizing, and presenting basic information/data on specific programmes/projectand related topics or issues;
  • Reviewing project documents, especially cost plans/budgets, for completeness and compliance with relevant rules and procedures prior to submission for final approval and signature;
  • Reviewing budget revisions;
  • verifying availability of funds; ensuring necessary approval andentry in computerized budget system;
  • Serving as focal point for administrative coordination of programme/project implementationactivities, involving extensive liaison with a diverse organizational units to initiate requests, obtainnecessary clearances, process and follow-up on administrative actions, e.g. recruitment andappointment of personnel, travel arrangements, training/study tours, authorization of payments,disbursement of funds, procurement of equipment and services;
  • Drafts correspondence on budget-related issues and prepares and updates periodic reports, briefingnotes, graphic and statistical summaries, accounting spread sheets, etc;
  • Provides general office assistance; responds to complex information requests and inquiries;
  • reviews, logs and routes incoming correspondence;
  • sets up and maintains files/records;
  • organizesmeetings, workshops;
  • handles routine administrative tasks, such as maintaining attendancerecords, assessing telephone billing, etc;
  • Provides guidance/training to new/junior staff;
  • Performs other duties as required.(These duties are generic and may not be carried out by all Programme Assistants)
Education:
Completion of secondary, technical or commercial school.
Must have passed the ITC MicrosoftOffice Test.
Work Experience:
A minimum of 5 years of experience in general office support or related area.
Knowledge:
Previous experience of IMIS desirable.
Languages:
Advanced knowledge of English with a working knowledge of French or Spanish.
Knowledge ofother UN official languages is an asset.
