Organizational Context:
Under the supervision of the Head of the Operations Service, the incumbent plans and manages the work of the Client Records Unit responsible for preparing extracts and attestations from the International Register of Marks as well as related invoicing. In particular, the position will:
Main duties:
(a) manage the work of the unit and its team members, organizing and monitoring the production and the service and ensuring it's high quality, identifying staff and training needs and evaluating staff performance;
(b) perform quality control of the services provided, reviewing both form and substance of all documents prepared by the Unit as well as organizing certification of extracts and attestations;
(c) identify priorities, solve complex queries, liaise with clients when required and manage urgent complex cases establishing sensitive complex extracts and attestations from the International Register of Trademarks;
(d) advise team members on issues requiring a thorough understanding of the applicable texts (Madrid Agreement and Common Regulations under the Madrid Agreement and Protocol);
(e) provide/ensure training and guidance to the team members regarding the form and substance of extracts as well as IT tools and system used;
(f) cooperate with various WIPO services in order to resolve various issues (Finances, Legal, Communications, IT, etc.);
(g) provide monthly reports and statistics on requests received and completed. Develop a simple electronic archiving system for extracts and attestations and maintain it;
(h) document the working procedures of the Unit; cooperate with the Head of Operations in recognizing and implementing improved and simplified practices for the benefit of the service;
(i) proactively identifying possible ways to promote and increase the use of extracts and cooperating with other divisions or departments in that endeavor;
(j) create extracts and attestations, participate in meetings and seminars, and perform other related duties.

REQUIRED QUALIFICATIONS
Education:
University degree in business administration, legal studies, etc. or related field.
Experience:
At least three years of relevant professional experience in the area of Trademarks including excellent knowledge of the Madrid System and the related regulations and in particular of extracts specificities of the International Trademark System.
Skills:
Thorough knowledge of computer systems mentioned above.
Good communication skills and customer care attitude.
Languages:
Essential:
Excellent knowledge of English or French and very good knowledge of the other language. Ability to draft in English and French.
Desirable:
Working knowledge of another UN language would be an advantage, in particular Spanish.
Annual salary:
(Net of tax)
46,730 USD
49,821 USD (with primary dependants)
Post adjustment:
96.5 % of the above figure(s). This percentage is to be considered as indicative since variations may occur each month either upwards or downwards due to currency exchange rate fluctuations or inflation.
Additional Information:
Salaries and allowances are paid in Swiss francs at the official rate of exchange of the United Nations.
* Initial period of two years, renewable, subject to satisfactory performance. No fixed-term appointment or any extension hereof shall carry with it any expectancy of, nor imply any right to, (further) extensions or conversion to a permanent appointment.
Additional testing/interviewing may be used as a form of screening.
