Specialization/Skills
Bachelor's degree with minimum 2 years of work experience in office administration.
Basic purpose
To provide basic day-to-day secretarial and administrative support to the Organizational Unit Head and team members including, filing and keeping documents. Provide basic logistic support.
Roles and responsibilities
1. Prepares Purchase Requisition (PR) and monitor Purchase Orders (PO) and critical Purchase Requisitions. Inform supervisor of any important deviations.
  • Review technical specification of materials and equipment as advised by Supervisor and adjust them as needed before processing of documents. 2. Receive and records materials and equipment through Notification from SCS Receiving Area.
  • Coordinate SCS Petty Cash purchases thru PPS Warehouseman.
  • Collect and complete all necessary documents (invoice, delivery receipts etc.)
  • Record all received items and matches them with Purchase Requisition (PR) and Purchase Order (PO).
  • Prepares Withdrawal slip for PPS Section materials withdrawal in PPS Warehouse. 3. Data management and Encoding Report file and maintain database records.
  • Encode data into the Key Performance Index (KPI).
  • Encode purchase requisitions and materials, equipment and tools request. 4. Release and record items ready for dispatching, and coordinate dispatching with Warehousemen.
  • Prepare daily notification of received items ready for issuance, Issue items to end users, Ensure all inventory items are tagged and recorded, Record all issuance of items. 5. Coordinate with PPS Admin Coordinator for posting and payment
  • Check necessary document for posting (invoices, price matching) 6. Others Oversee the centralized tools and equipment control, to ensure all tools and equipment are available when needed.
  • Distribute personal protective equipment (helmet, mask, vest etc) to staff and contract workers. 7. Perform other job-related duties that may be assigned by supervisor from time to time. Qualification and Experience:
  • College degree in any 4-year course or vocational training with minimum of 2 years work experience.
  • Basic computer skills (Microsoft Office: Word and Excel)
  • Knowledge of construction materials
  • Good communication skills
  • Experience in Record keeping
