OVERVIEW OF THE FUNCTIONS OF THE POST
Background
The Mahatma Gandhi Institute of Education for Peace and Sustainable Development (MGIEP) isUNESCO's first education-related category 1 institute in the Asia and the Pacific region towards thedevelopment and promotion of new approaches to education for a more peaceful and sustainableworld. The Institute aims to contribute to the conceptualization, design and formulation of regionaland sub-regional strategies in education for peace and sustainable development, in particularthrough South-South and triangular North-South-South cooperation. .
Duties and Responsibilities
Under the supervision of the Director of Mahatma Gandhi Institute of Education for Peace andSustainable Development the incumbent shall assist in the implementation and management ofprogramme of MGIEP based in New Delhi, in particular:
ADMINISTRATION OF THE BUREAU OF THE DIRECOR
- Draft briefings, working documents, background materials and various documents for the Director. Coordinate the collect and organisation of the documents from staff andcollaborators.
- Manage and coordinate administrative tasks of the Bureau of Director
- Organise and oversee the daily work of the secretarial assistant in the Office of the Director Establish procedure for internal communication for the OfficeTake notes and represent MGIEP at meetings and missions held in New Delhi
- Oversee the Director's engagements and travel plans in coordination with the Secretary;
- Draft and review project components as well as monitors the project delivery in consultationwith local counterparts within the context of MGIEP's on-going projects as well as with a view to raising additional resources;
- Assist the Director in the implementation of project activities;
- Collect and analyse relevant information pertaining to all MGIEP projects and keeps it updated;
- Report progress of activities and projects of which he/she is in charge of
COMMUNICATION/PARTNERSHIP
- Develop a communication/information strategy for MGIEP, liaise with the website designersand other IT support providers;
- Ensure development of collaboration and smooth interaction with national, sub-regional andinternational organizations as well as Non-Governmental Organizations/Governmentcounterpart;
REQUIRED QUALIFICATIONSEDUCATION
- Advanced university degree (Master's degree or equivalent) in the relevant field such as Management and Business Administration.
WORK EXPERIENCE
- 2 years in the field of office management, project management and/or office coordination.
SKILLS/COMPETENCIES
- Ability to work under pressure
- Excellent organizational skills
- Excellent communication skills, both orally and in written, and analytical skills
- Excellent interpersonal skills. Ability to interact with a wide range of colleagues and staff at all level within and outside the Organization
- Client oriented, result and solution oriented
- Discretion, tact and diplomacy
- Excellent computer skills, and advanced knowledge of spreadsheet and database. Experience with an ERP system will be considered as an asset
LANGUAGES
- Fluency in English. Knowledge of Hindi and another UN official language would be considered as an asset
